Office Assistant/ Receptionist

The individual in this role will handle a full range of office duties and administrative support for all team members and customers. The individual must be a highly-organized, self-motivated, polite candidate with a strong work ethic and value structure. This position ensures that the team is working seamlessly on a daily basis.

They have the ability to work in a fast-paced environment while multitasking under tight deadlines and delivering exceptional customer service. Ability to switch gears at a moment’s notice.

Duties & Responsibilities

The core duties and responsibilities of an Administrative Assistant revolve around supporting our team members and customers. Duties can vary widely, not just from job to job, but from day to day. The duties performed include:

Customer Service Responsibilities

  • Provide hospitality to all guests, creating a welcoming environment.
  • Answering phone inquiries in regard to basic information, service questions, etc.
  • Prioritize inquiries and requests to ensure smooth day-to-day engagements

Administrative Responsibilities

  • Prepare communications such as memos, emails, and other correspondence
  • Ensuring office supplies are maintained while keeping a detailed inventory
  • Operating copy equipment, fax machines, printers, or other necessary equipment
  • Provide personal assistance with errands and tasks.
  • Accept and deliver all incoming packages from USPS or carrier Mail (FedEx, UPS, etc)
  • Prepare outgoing packages for pick-up; mail and/or fax documents as requested.

Skills & Qualifications

In order to perform their various duties, an Administrative Assistant must exhibit many varied skills and qualifications. At the core, the Administrative Assistant is a support position, meaning that communications and decision-making are paramount. A few of the specific skills that all Administrative Assistants should include but not limited to:

  • Ability to work independently: Make independent decisions on a daily basis, addressing the best way to handle specific tasks
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Professional demeanor, good judgement and a positive personality is essential.
  • Communications and collaboration: Must collaborate with other team members, management, and clients on a regular basis
  • Organizational skills: Exceptional organizational skills and attention to detail. Organization and prioritization are the core elements of responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list
  • Time management skills
  • Computer literacy skills
  • Strong communication, both written and verbal
  • A patient and empathetic attitude while resolving conflict
  • Adaptability and flexibility
  • Troubleshooting skills
  • Phone skills including familiarity with multi-line phone systems
  • Knowledge of Microsoft Office and other office management tools and applications

Salary Expectations

This is a full-time position Holiday pay on available select days. The position will also qualify for 15 days of paid vacation after one year of service and furthermore.

Schedule:

  • 8:30am – 5:00pm
  • Monday to Friday

Education:

  • High school

Experience:

  • Customer Service: 1 year (Preferred)
  • Microsoft Office: 1 year (Required

Job Type: Full-time

Pay: $25,000.00 - $32,000.00 per year
