The attorney talent coordinator supports the attorney talent team in coordinating events and supporting marketing and communication efforts related to attorney recruiting, professional development (PD), and inclusion and engagement (I&E). The coordinator will work collaboratively across the attorney talent and marketing and events teams, ensuring alignment and clear execution. The ideal candidate is highly organized, detail-oriented and collaborative, with a proactive approach to service and execution.
Key Responsibilities
Attorney Talent Event Coordination
- Maintain a centralized attorney talent event and sponsorship calendar and coordinate timelines with relevant internal stakeholders.
- Work with the attorney talent, marketing and events teams to coordinate high-quality programs that support attorney recruiting, PD and I&E, including on-site and off-site events related to the summer program, entry-level recruiting, first year orientation, I&E events, lunch and learn programs, Associates Committee events, and New Member Program events.
- Execute events and event logistics before, during and afterwards.
- Provide on-site support at events (e.g. registration and greeting guests).
- Track event budget and process invoices and expense requests.
- Coordinate affinity group and shared interest group meetings, including scheduling and logistical support.
- Maintain a sponsorship calendar for I&E commitments. Coordinate sponsorship deliverables and logistics, track related metrics, and identify opportunities for continuous improvement.
Attorney Talent Marketing and Communications Assistance
- In collaboration with the attorney talent and marketing teams, coordinate and maintain a calendar for attorney talent communications.
- Liaise with the marketing team to support attorney talent communications, such as internal newsletters, new lawyer directories, social media posts, and other internal communications and marketing pieces.
- Coordinate content submissions and assist with execution where appropriate.
- Maintain and regularly update the I&E and Attorney Talent pages on the firm intranet.
- Manage inventory of branded materials (“swag”) for events, new lawyer hires, and the summer associate program.
Attorney Talent Support
- Assist with the onboarding of new affinity group members.
- Maintain data and email distribution lists to support internal communication as well as certifications and external surveys.
- On a project-by-project basis, assist with attorney talent databases and systems, such as viDesktop and SmartSheets.
- Assist with attorney talent metric tracking.
- Process invoice and reimbursement requests for the department.
- With a team-oriented mindset, support the recruiting, PD and I&E team members with overflow tasks as needed.
Required Skills and Qualifications
- Bachelor’s degree from a four-year college or university required.
- Two-four years of experience in project coordination, talent management or administration. Experience in a law firm or professional services environment preferred.
- Exceptional organizational and time management skills, with high attention to detail.
- Proven ability to collaborate effectively in an agile, fast-paced environment and to take direction from multiple people at once.
- Creative problem-solver with a positive, forward-thinking approach.
- Self-motivated and proactive, with the ability to work independently while managing multiple priorities and deadlines.
- Strong client-service orientation, diplomacy, and the ability to build productive relationships across seniority levels.
- Proven experience coordinating events and demonstrating strong hospitality skills, with the ability to manage logistics, anticipate needs, and create a welcoming and professional environment for attendees.
- Continuous improvement mindset and ability to identify opportunities to enhance systems and processes.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, OneNote, PowerPoint). Experience with Canva, SmartSheets and Teams is a plus.
- Willingness to work outside standard business hours, including evenings and weekends, as event schedules require.
- Willingness to travel to the firm’s other offices, as event schedules require.
