What you'll do
In this role, you will provide administrative support to the Partners, Principals, and Practice Manager on behalf of the Finance Practice.
- Manage calendars, meeting coordination and scheduling, travel arrangements, and expense reimbursements for assigned individuals.
- Proactively manage Partners’ and Principals’ calendars and incoming email by reviewing them regularly; address conflicts in advance; and coordinate meetings and other scheduling logistics as needed.
- Provide meeting and event preparation and coordination (pre-meeting, meeting, post-meeting) for internal and external meetings including, arranging and organizing meeting materials, technology requirements, catering requirements, and other logistics.
- Assist with accounts receivable, billing, invoices, engagement letters, etc.
- Assist with coordinating meals for project teams during busy periods.
- Plan and coordinate practice events, on-site and off-site by selecting vendors and venues, assisting with events, and managing budgets. Work in conjunction with the Practice Manager and practice social coordinators.
- Draft well-written, succinct, accurate, and tailored emails, letters, and other communications.
- Assist with developing and editing presentations, reports, pitches, and other materials.
- Create and maintain document management systems and processes (hard copy and electronic).
- Oversee and manage Partners’ contact lists (working with Marketing team).
- Provide production assistance.
- Provide back up as needed to other Executive Assistants and Administrative Assistants.
What you'll bring to the table
- Minimum 7-10 years in an Executive Assistant role, including 3 years working with senior management, preferably in a fast-paced, high-growth professional services environment.
- Exceptional oral and written communication skills.
- Proactive, with creative problem-solving ability.
- Work well within a team; initiate and maintain positive team relationships, receptive to others’ input and ideas.
- Excellent interpersonal skills; ability to interact and establish rapport with individuals at all levels, including ones with strong personalities.
- Advanced organizational and administrative skills with keen attention to detail.
- Strong project management skills with ability to see projects through to completion.
- Exceptional multi-tasker who thrives on juggling multiple priorities/ongoing projects.
- Basic mathematical and analytical skills.
- Advanced working knowledge of Microsoft Office (PowerPoint, Excel, Word, Outlook).
- Honest, trustworthy, and diplomatic with ability to handle sensitive materials and issues.
