Job Title: Administrative Assistant
Duration: 01 months/ Temp to perm role
Location: Oakland CA
ONSITE 5 Days a week role has the possibility of converting perm.
Payrate: $33/hr - $35/hr on w2
Job Description:
Provide department leaders with recommendations and consultation to improve teamwork across the organization
Seek to find areas of opportunity and creative problem solving
Manage ad hoc projects and analysis for the department as needed
Learn new processes within client to educate and support teams for their own use
Lead & coordinate department administrative activities working collaboratively with other admins in Function - Sets a tone of inclusion & collaboration with the Functional Admin Team to solicit new ideas to advance the function as needs evolve.
Manage complex calendars and schedules, book and arrange travel, including organizing detailed itineraries, complete expenses reports, etc.
Prepare reports, collect and analyze information; prepare presentations.
Handle conference room set-up including telepresence meeting set-up for virtual and hybrid team members; coordinating with IT if necessary
Format information for internal and external communication – memos, emails, presentations, reports
Coordinate with extended Admin team for maintenance of organization charts and Division distribution lists
Manage support for monthly Functional department Meetings: Schedule meetings, solicit agenda items, manage logistics, catering, and help connect remote participants as required. Engage to define & plan R&D functional events as required.
Monthly Budget Support - Generate salary spreadsheets, track monthly budget reports, identify and track any discrepancies.
Support department on an as needed basis - such as: office supply orders, shipping, sorting mail.
Coordinate functional and team celebrations
Provide back-up administrative coverage to other leaders as needed
