Job Overview : The Site Supervisor will supervise the after-school program and ensure The Childrens Trust guidelines are met as well as local funders and foundations guidelines. He / she is responsible for providing program support, program reporting, data oversight and the coordination of staff and parent meetings and other positive youth development activities. The Site Supervisor will also coordinate all field trip logistics and bookings with the support of the Program Lead. Bachelors degree preferred, Minimum 2 years of experience in after-school programs and / or youth programs.
Additional Responsibilities and Duties .
- Recruitment of 60 students for the program per year (August May, always keep a waiting list to ensure the site is at 100% contracted utilization). The program needs a minimum of 40 students consistently attending the program daily.
- Selection of eligible students for available program slots (6th, 7th and 8th grade).
- Ensure all the information requested in the student application is completed by the parent / guardians and no fields are left blank. Provide a copy to the Program Lead.
- Ensure all student parents receive the programs PARENT HANDBOOK.
- Create an emergency contact list for students to take on field trips in case of emergency.
- Set-up and maintain proper care and cleanliness of the physical site for program activities (tables, chairs, supplies, snacks, etc.).
- Maintain blank program forms (student registrations, incident reports, field trip permission forms, field trip waivers (if needed), student / parent surveys, cleaning log, weekly timesheets, reimbursement request, etc.).
- Send a copy of all new registrations to Program Lead.
- Create individual file folders for each student enrolled in the program and keep these under lock and key.
- Ensure attendance is entered into Trust Central (SAMIS) daily and / or before 12 : 00 (Noon) the following day.
- Turn in the weekly attendance log to Be Strong office every Friday.
- Turn in completed and signed bi-weekly timesheets, following the Be Strong payroll schedule.
- Supervise and administer all required assessment as per Scope of Services. Ensuring all assessments / surveys are administered to youth and parents when TCT requires.
- Enter all SAMIS (Trust Central) related student information (demographics).
- Schedule staff (paid and volunteer) to always cover staff / student ratio of 1 : 15.
- Create plastic-laminated emergency evacuation maps and post them in each classroom used for the program.
- Create emergency posters (nearest hospital, fire, police, poison control, switchboard).
- Schedule fire evacuation drills once per quarter.
- Submit requests for supply orders to the Program Lead.
- Schedule quarterly parent engagement events.
- Serve as liaison to school personnel (to maintain grade reports and monitor student progress).
- When possible, attend Be Strong training and meetings to improve professional skills and enhance the program activities.
- Work alongside Program Lead to coordinate and schedule 2 field trips per year.
- In case of emergency, accident, or injury, consult the Student Emergency Contact form for information on allergies, medical and doctor information, parent notification and authorized student pick-up.
- Incident / injury reports will be completed thoroughly and signed by staff, witnesses, and Site Supervisor on the same day as the incident occurs and scanned to BE STRONG by the end of the program day. Incidents requiring medical attention will be brought to the attention of the Program Lead, the Program Manager and contact parents immediately.
- Complete an incident / injury report and email to the Program Lead the same day and no later than 24 hours after incident occurrence.
- Safeguard students confidentiality and family information, especially medical conditions and students academic performance.
- Complete any required training before the deadline (as provided by the onboarding process or your direct supervisor upon hire).
- Other duties as assigned.

Competencies : The Site Supervisor will effectively lead staff and manage program operations. This individual needs to have strong communication skills for interacting with students, parents, staff, and school personnel and building positive relationships. Attention to detail is crucial for accurate record-keeping and compliance with guidelines. Problem-solving skills are required for handling emergencies and daily challenges. Effective time management and adaptability are needed for various duties and changing program needs.
Characteristics Strongly Desired
Physical Demands : This position is regularly required to sit, stand, walk, speak, and hear. The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen.
