Job Description:
The Evaluation Coordinator is responsible for supporting the Evaluation department in data entry, organization in application entry, organization of market products, and maintaining the Fragrance Library in order to satisfy customer demand. The Fragrance Library Coordinator will work directly with Evaluation, Applications, Perfumery, Regulatory, and Marketing in order to ensure that project briefs are completed within the allotted time frame. The Evaluation Coordinator will assist with proper record keeping, data entry, and the Evaluation department’s adherence to standard operating procedures.
Job Responsibilities:
· Work independently entering complete collection, capsule collections, and library subset.
· Work independently in entering of application requests.
· Distribute fragrances to be used for above application requests to the Application team.
· Distribute finished application samples to the appropriate Evaluator.
· Purchase marker products needed for briefs or in-house use.
· Log purchases as in-house purchase or customer need
· Log market products onto internal spreadsheet.
· Maintain market product library.
· Maintain Fragrance Library.
o Label bottles with information including Application, Diluent, Parent, Revision.
§ Pull needed bottles from Evaluation
§ Own organization of Library including designation for;
· Customer Bottles
· Trend Presentations
· Fragrance Categorization
o Reporting/Intranet
§ Making sure the intranet lists are up to date
§ Ensure the “Concept Line” information in Vicinity is consistent wo we can track our wins by collection.
o Determine what to do with Library Subset and to update accordingly.
§ With further discussion and direction from Creative Director.
· Attend regularly scheduled smell sessions and log notes to share with the team.
· Enter project briefs from smell sessions for in-house duplications.
· Follow progression of in-house duplications to ensure they are completed.
· Request Regulatory review via email from Evaluations.
· Follow up with Regulatory to ensure review is complete to meet project deadline.
· Communicate Regulatory review with Evaluation and assist in next steps.

Requirements
Education and Experience:
Ø High school diploma or GED required; Associates degree and/or Bachelor’s degree preferred
Ø Experience (years and topics):
o Capable and comfortable quickly changing direction and readjusting focus and drive, as business needs change.
o Ability to effectively manage multiple responsibilities and tasks regularly
o Exceptional people/team and strong collaboration skills
o Strong organizational and planning skills
o Understanding of scheduling, lead times and time management
o Ability to work extremely well under pressure and changing dynamics

o Familiarity of database structure

o Must be PC literate and literate in Excel, Word and Power Point, etc. Preferred advanced Excel and literate in Access.

o Interpret a variety of instructions furnished in written, oral, visual, or schedule form.
Ø Communication:
o Vocalize and explain detailed data and problem-solve, both in-person and by telephone. Must have good communication skills (both verbal and written)
o Compose routine correspondence on own initiative
o Make comprehensive notes in English
o May involve a large volume of such composition
o Must have ability to work well under pressure

o Movement: Employee will frequently use fingers, walk and distinguish basic colors. Employee will continuously use both hands, sit for extended periods of time, and use rapid or well-developed coordination simultaneously.
