What are the responsibilities and job description for the Real Estate Office Assistant position at Benson Investments, Inc.?
Seeking part-time office assistant for a small property management company in downtown Austin. Looking for assistance to fulfill various daily duties and responsibilities including, but not limited to:
- Greet & establish rapport with residents and prospective residents.
- Answer phones in a professional manner and route calls to the appropriate party and take messages if the applicable party is not available
- Assist in preparing and distributing resident and community communications (i.e., rule reminders, violation notices, increase letters, delinquency notices, eviction paperwork, lease addendum, and renewals)
- Complete and maintain property records, reports, and files
- Run Errands based on company needs
- Schedule appointments and maintain calendars
- Handle incoming and outgoing mail
- Follow procedures in forwarding invoices.
- Prepare spreadsheets and documents as needed
- Maintain filing system, both electronically and physically
- Maintain mail and office in an orderly fashion.
- Travel Management: Booking flights, hotels, car rentals, etc.
- Rental management: communicate with tenants and contractors.
- Maintains and updates filing, inventory, mailing, and database systems.
- Performs other duties as assigned
- Physical Demands may vary. The individual is occasionally required to sit, stoop, kneel, and crouch. The individual may need to lift up to 20 pounds.
Must be able to communicate well, multi-task, manage your time and stay flexible as task priority may change quickly. Knowledge of Microsoft Office, Word, Excel, and Outlook. Reliable transportation is required.
