Job description:

Beth-El America LLC (BEA) is a manufacturer of air filtration systems and is an integration house of electronics, mechanical and electro-mechanical systems and components.

As BEA is growing, we are looking for a hybrid role of Operations Planning and Executive Assistant to join our team. You will be working together with management developing company strategy, coordinate production planning, and leading several independent projects in a fast-changing environment.

Key Responsibilities — Planning & Operations Support

· Provide executive and administrative support to the CEO, including calendar management, meeting coordination, travel arrangements, and preparation of agendas and materials.

· Manage planning activities using ERP/MRP systems, including demand forecasting, material availability, and production scheduling.

· Develop, monitor, and improve planning strategies that align with production requirements, inventory targets, and organizational goals.

· Track and report on planning and operational performance indicators to support on-time delivery, cost control, and workflow efficiency.

· Create, analyze, and maintain spreadsheets, reports, dashboards, and presentations to support executive decision-making and strategic planning.

· Draft, format, proofread, and maintain business documents and standardized templates, including contracts, quotes, correspondence, invoices, and order confirmations.

· Collaborate cross-functionally with production, logistics, finance, manufacturing, and management to ensure alignment between planning, operations, and business priorities.

· Support continuous improvement initiatives by refining planning processes, internal workflows, documentation, and administrative practices.

· Assist with recruitment, onboarding, offboarding, and employee record maintenance to support HR compliance and organizational growth.

· Contribute to cross-functional and strategic projects aimed at strengthening internal processes, reducing dependency on the parent company, and improving overall operational effectiveness.

Qualifications & Skills

· Bachelor’s degree in Supply Chain Management, Business Administration, Industrial Engineering, or a related field, or equivalent practical experience.

· Experience in planning, production scheduling, supply chain planning, or operational coordination, preferably in a manufacturing or technical environment.

· Experience in an executive assistant, office management, or operations support role, providing support to senior leadership and cross-functional teams.

· Solid understanding of MRP principles, production scheduling, inventory control, and planning processes; knowledge of logistics and manufacturing is an advantage.

· Proficient with ERP/MRP systems and planning tools, with strong analytical and forecasting capabilities.

· Advanced proficiency in Microsoft Office, particularly Excel and Word.

· Strong analytical, organizational, and problem-solving skills, with excellent attention to detail and follow-through.

· Ability to manage multiple priorities, work independently, and perform effectively in a fast-paced environment.

· Strong written and verbal communication skills in English, with the ability to work effectively across teams.

· Professional, discreet, and trustworthy when handling confidential information.

· Experience with HR processes and documentation is an advantage.

· Proactive, resourceful, and solution-oriented, with a collaborative team approach.
