ABOUT THE COMPANY –
Beyond Financial Services is an established but growing fee-based financial planning practice located in Fremont, California. We are currently seeking a client-service focused and detail oriented Financial Planning Assistant/Paraplanner to join our office team and support the Financial Advisor.
This position will conduct administrative tasks such as answering phones, replying to emails, scheduling appointments, file documents and enter data into internal digital systems. You will also perform other finance related clerical duties such as preparing for meetings with clients and prospective clients, taking notes during meetings, executing recommended changes resulting from meetings and coordinating directly with clients and other members of the team as needed.
This position will work closely with other team members, providing a wide range of administrative and operational support of client engagements. We seek a professional who is highly ethical, dependable, team‐oriented, detail‐oriented, ability to prioritize, organized and a multitasker. Ideal candidates will possess excellent communication skills, a service-oriented demeanor with pleasant business appropriate phone etiquette, a positive attitude and effective problem-solving skills.
RESPONSIBILITIES INCLUDE -
- Field incoming phone calls and interact with clients, prospective clients, vendors and other professionals.
- Gather data and assist with the preparation of meeting materials including investment performance and position reports as needed.
- Prepare other meeting content, including agendas, presentations, and prefilling forms and new account paperwork.
- Track new business to ensure forms are returned from advisor(s)/client(s), completed correctly, and submitted for processing.
- Execute trades, money movements, and other transactions.
- Write summary after meetings detailing discussions, actions taken, and next steps and follow up.
- Provide excellent client service to clients as needed by addressing client needs or directing them to the appropriate resource. Strong written and verbal skills; ability to communicate ideas and thoughts in a clear, professional manner. Strong attention to detail to ensure the accuracy of reports, correspondence, and database information. Ability to easily translate numerical tables into words.

QUALIFICATIONS -
To perform the job successfully, you must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required. - Bachelor’s degree from an accredited college or university in a related discipline or equivalent combination of education and experience. We prefer accounting, finance, law, economics and/or significant experience in a related field.
- Basic understanding of comprehensive financial planning topics such as retirement planning, employee benefits, insurance, investments, asset allocation, estate planning techniques, income taxation, and executive compensation.
- Proficiency in Excel, Word, Acrobat and PowerPoint required
- CFP® preferred or demonstrated progress toward acquiring the CFP®, i.e., ongoing plan for completion of required coursework and taking the CFP® exam.
- Certificates, Licenses, Registrations: Active Series 7 & 66 (or 63 & 65) licenses preferred. CA Life & Health Insurance license a plus
- Authorization to work in the U.S. without durational restrictions.
- Successful completion of thorough background check and pre-employment assessments.
