Role Overview
As an Event Planning & Management Intern, you’ll help bring the festival to life day-of, and ensure its impact is felt in the Chicago community:
- Duration: 8–10 weeks (e.g., July –August)
- Hours: ≈ 15–20 hrs/week
- Location: Hybrid (Chicago event locations remote work)
Key Responsibilities: Based on the interns’ experience, we will place you in one or more of these tracks.
1. Attendee Experience
- Decor: Setting up and breaking down festival decor; ensuring that festival decor aligns with marketing and the festival Founder’s visions.
- Design: Spearhead spatial design to optimize crowd flow, create effective seating arrangements, and elevate attendee experience.
- Hospitality & Experience: Supporting attendees with questions they have about logistics, location of festival activities, and any other FAQs; representing the B&B Fest Team positively for all festival attendees
- For VIP guests, supporting them in finding seating and any other amenities they require
2. Festival Talent Operations
- Green room setup and talent management: Providing artists with the support they need before, during, and after performances, working with artists and festival management to ensure artists arrive at performance(s) on time
- Merchandising: Support in selling custom festival merch
3. Event Logistics
- Sponsor Support: Setting up activations for sponsors and ensuring that activations run smoothly
- Checkin/checkout: Manage crowd flow in and out of the festival, ensuring that attendees have wrist bands intact, and understand the flow of the festival space
- Security Planning: Work with Volunteer Leads and Founder to confirm security plan and logistics, and that all security personnel are supported and accounted for throughout the festival
- Rain plan: Work with Volunteer Leads to develop and execute Rain Plan, in the event of inclement weather
- Setup and breakdown: Create plans for the setup and breakdown of the festival to make these processes as efficient as possible.
- Run of Show: Develop the run of show with minute-by-minute scheduling and intentionally assigned tasks.
Learning Opportunities
- Work closely with the Volunteer & Sponsorship Leads
- Gain valuable experience in nonprofit/event marketing, social media strategy, and community engagement
- Build professional relationships within Chicago’s Black arts and small business communities
Candidate Profile
Required:
- Currently pursuing or recently completed a degree in Hospitality, Entertainment Management, Communications, PR, Business, or related field
- Experience building or working events
- Excellent communication—written, verbal, and interpersonal
- Highly organized, proactive, and detail-oriented
- Comfortable at public events and festivals
- Able to commit to some evenings/weekend events
Preferred:
- Understanding of cultural/community-first event planning
- Passion for Black arts, culture, and local entrepreneurship
- Connection to Chicago’s creative/community organizations
