What are the responsibilities and job description for the Office Manager position at Blacksburg Christian Church?
This is a part-time (20 hours a week) in-person position. The candidate’s experience must include administrative, office, or secretarial experience; general knowledge and experience with a church or non-profit organization; and proficiency in Microsoft Office and Google applications. Preferred qualifications include knowledge of Mailchimp and Squarespace, excellent communication skills, 4 days per week required, a keen eye for details, the ability to multi-task, and strong organizational skills.
Communications:
prepare all correspondence as directed by the pastor
prepare, edit, print, and publish monthly 8 – 10-page newsletter
edit, print, and publish monthly board meeting minutes
bind and archive board meeting minutes annually
send weekly emails to subscribers maintained in MailChimp
send and reply to other emails as directed
Worship Support:
schedule regular piano tuning
order and copy choir music both on paper and on CD and USB
order sanctuary banners, altar flowers, worship, and communion supplies
prepare the sanctuary for worship weekly
prepare worship bulletins weekly and funeral and wedding bulletins as needed
stock and prepare kids’ worship boxes weekly
support special worship services with creative thinking in collaboration with the pastors
Board Support:
prepare packets of reports to the board in preparation of monthly meetings
Elders’ Support:
keep elders’ shepherding groups regularly updated
Youth Support:
coordinate registration for youth events
maintain and update youth rosters and parent contact information
order food and supplies for youth events
order youth Christmas gifts and graduation gifts
edit, prepare, copy, and bind 50 devotional booklets annually for summer camp
Admin/Office Support:
prepare the annual Administrative/IT/Communications/Office budget
manage the church’s computers and software subscriptions
maintain the church copier and the church’s computers, software, and printers
maintain detailed records on church family
maintain and regularly update church directory
maintain the church facility calendar and events calendar
do all online ordering in support of administrative, worship, Christian Education, youth functions
create online signups and registration forms as needed for fellowship meals, bus trips, etc.
update the church’s QR code weekly to link to all signups
maintain and update church’s tax-exempt status with merchants
answer phones
receive mail and packages
maintain the church’s filed bills, bank statements, and other files
maintain an updated record of the church’s outreach funds throughout the year
annually submit all the church’s data to the Disciples ALEX system

engage with and continue to grow social media following which now stands at 570 followers

Assist in regularly maintaining and update church website using Squarespace
YouTube:
Assist in maintaining and updating the church’s YouTube channel content of livestreamed worship services
Consultation:
provide administrative support, backup, or training as needed
