Bilingual Receptionist

This position is the first point of contact for handling customer service interactions, primarily through telephone and personal contact with both internal and external customers. Other duties include; daily operational tasks, electronic recordkeeping, scanning, filing, and general office management activities. As the receptionist, incumbent will answer telephones and refer callers as appropriate, or provide personnel information. This individual provides excellent customer services while greeting all incoming visitors, applicants, and employees.
ESSENTIAL RESPONSIBILITIES
- Greets and follows visitor company protocol. Directs visitors to the company.
- Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
- Takes and retrieves messages for various personnel.
- Receives, sorts, scans and forwards incoming mail. Maintains and routes publications.
- Coordinates the pick-up and delivery of express mail services (USPS, FedEx, UPS, etc.)
- Orders and maintains office supplies and forms, checks inventories, and ensures accurate orders are received. Forwards invoices and packing slips to accounting on office supply orders.
- Inputs HR information accurately into Paychex, and other HRIS systems/databases as applicable.
- Maintains current HR files and databases
- May update and maintain employee benefits, employment status, and similar records
- May maintain records related to workers compensation, performance reviews, and disciplinary actions
- Performing file audits to ensure that all required employee documentation is collected and maintained
- Communicates with housekeeping and maintains communication log
- Translates a variety of documents, videos and phone calls for the organization
- Assists Accounting in preparing checks to be mailed out or deposited with a courier.
- Perform other duties or special projects as required or assigned.
QUALIFICATIONS & REQUIREMENTS
- High School Diploma
- One year of administrative experience
- Ability to multi-task, and complete tasks on an accurate and timely manner.
- Spanish bilingual (written/verbal)
- Ability to streamline processes through necessary skill sets.
- Strong ability to work well in a variety of team environments.
- Proficient in MS Word, Excel, PowerPoint
- Have advanced knowledge of Microsoft Office applications and computer skills
- Must be able to multi-task and have excellent communication skills
