Boulder Crest is the global leader in the development, delivery, study, and scale of Posttraumatic Growth (PTG) based programs for times of struggle. As a $10 million a year organization, Boulder Crest delivers these programs at our wellness centers in Arizona (Sonoita), Texas (Italy), and Virginia (Bluemont), through our Mobile Training Teams (MTT), and through partnerships with nonprofit organizations and first responder departments in more than a dozen states across the country. The Boulder Crest Institute for Posttraumatic Growth is the leading global center focused on the theory, research, and application of Posttraumatic Growth, and is chaired by the founder of PTG, Dr Richard Tedeschi.

Job Summary

The Donor Stewardship Coordinator is responsible for database management (DonorPerfect), helping coordinate Boulder Crest fundraising events, and independently conducting the day-to-day operational management and implementation of all activities pertaining to fund development, fundraising, and volunteer management, and donor retention. The Donor Stewardship Coordinator reports to the Community and Events Manager and completes administrative duties related to his/her work as assigned. This role will require a moderate amount of weekend work, particularly during events or busy outreach periods with the possibility of flex time, subject to team needs and workload.

Summary of Essential Job Functions

Donor and Community Outreach Correspondence & Database Management

  • Acts as the backstop and support to Director of Philanthropy on the following outreach activity: thank-you process for in-kind, credit card, cash and check contributions; document and maintain effective tracking system for correspondence; review Boulder Crest mail daily; tally and record monetary donations; draft and mail donor thank-you letters
  • Monitors, communicates and records grant, wire, ach monies being received
  • Reconciles and records fund receipts from 3rd party sources to include Benevity, Fidelity, Paypal, CFC Campaigns
  • Makes bank deposits via remote deposit and when necessary, deposits at the bank itself
  • Responsible for database management; creating and updating accounts; maintaining systems for tracking gifts, volunteerism and engagement
  • Reports data for board reports; pulls lists as requested and needed for mailings and Annual Report
  • Alerts Director of Philanthropy to large gifts being received and/or unique gifts
  • Monitors and sends monthly internal pledge reports to ensure invoices are being paid in a timely manner
  • Regularly reconciles the database and works with the Controller to confirm that the database matches up with the bank

Event Operations Management and Fundraising/Outreach Coordination

  • Supports Fundraising Events Manager on fundraising event preparation and execution
  • Assists in fund setup in database and GiveCloud software as needed
  • Works with Community and Events Manager to serve as Boulder Crest liaison for community fundraising/outreach initiatives
  • Solicits in kind donations for silent auction/raffle at fundraising events
  • Manages Corporate Volunteer Days
  • Other duties as assigned

Capabilities Required

The Donor Stewardship Coordinator will have an education and professional background commensurate with this essential position.

  • Bachelor's degree in nonprofit management, communications, business, or a related field, or equivalent professional experience
  • Minimum of 1-3 years of experience in nonprofit fundraising, donor relations, or database management
  • Experience with donor management software (e.g., Salesforce, DonorPerfect, Raiser's Edge, etc.) is strongly preferred
  • Experience working with or leading volunteers in a nonprofit or community setting

Minimum Qualifications

Strong proficiency in donor management software (e.g., Salesforce, DonorPerfect, Raiser's Edge, etc.)

  • Experience in database management, data entry, and reporting
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills with the ability to engage with diverse stakeholders
  • Basic knowledge of fundraising principles and donor stewardship best practices
  • Ability to work independently and as part of a team in a fast-paced environment
  • Comfortable with Microsoft Office Suite (Excel, Word, PowerPoint)
  • Ability to manage multiple tasks and prioritize responsibilities effectively
  • Flexible to adapt to the needs of a growing organization
  • Experience leading or working with volunteers in a nonprofit setting
  • Commitment to confidentiality and handling sensitive information appropriately

Physical Demands

While performing the duties of this job, the Manager is regularly required to sit, stand, walk, speak, and hear. The position requires extensive computer use, so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. The employee must occasionally lift and/or move up to 40 pounds.

Travel

Must be able to travel to attend meetings, conferences, training, and other events as required to acquire and maintain proficiency in fulfilling the position's responsibilities.

Work Environment
