Description

Class: Non-Exempt, Full Time
Hourly Rate: $25.00/hour comprehensive benefits
Hours: 30 hours/week, occasional evening and Saturday hours, 30 hours/week during recess periods – Site Supervisors cannot leave earlier that 5:30pm two days per week, the Site Supervisor and Lead cannot leave early on the same days, Site Supervisors must arrive no later than 1:30pm two days per week, BGCGG will accommodate school schedules based on these set guidelines. Proof of schedule is required and Site Supervisors must be willing to transfer.
Location: One of BGCGG’s various ASES sites
 
Primary Function: Manages overall daily operations of the designated ASES funded school site program with the primary concern for programs and service delivery, supervision and training of staff and volunteers, facilities management, community relations and membership administration.
 
Leadership
  • Establishes vision and goals for program; demonstrates work ethic; actions reflect mission and values of the organization
  • Conducts and follows policies and procedures in School Age Handbook and Employee Handbook
  • Adheres to GGUSD and BGCGG policies and procedures; provides guidance and resources to staff and volunteers as necessary
  • Provides coaching as necessary; delivers organizational and club changes to staff and volunteers in a positive manner
  • Provides positive praise and utilizes motivational tools with staff and volunteers; uses sound judgment
  • Solicits feedback and gathers employee and volunteers buy-in when making decisions to ensure employees and volunteers feel valued and allow for creativity and idea generating; establishes an environment in which employees and volunteers are collaborating and are implementing BUIC in all program pieces
Supervision
  • When faced with challenging situations, makes sound decisions regarding safety, crisis intervention and confidentiality
  • Provides example to employees and volunteers on following company policy and ensures employees and volunteers follow the policies of BGCGG
  • Communicates policy changes in a timely manner; approaches staff, volunteers, members, parents and community members with cultural sensitivity
  • Provides ongoing feedback and regular appraisal; approaches employees and volunteers with assertiveness and addresses concerns in real-time
  • Conducts staff meetings; completes and provides feedback through yearly evaluations; allocates and monitors work assigned to staff and volunteers; provides clear, timely and accurate information; seeks opportunities for individual staff and volunteer development
Safety
  • Maintains a healthy and safe environment, ensuring facilities, equipment and supplies are well kept; responds appropriately in a crisis situation
  • Conducts monthly safety drills and provides basic documentation; ensures fanny packs are worn properly by staff daily and replenishes them regularly; reports Incident and Accident Reports in a timely manner to all pertinent stakeholders
  • Maintains a safe and orderly program environment by arranging for repairs and replacement of equipment
Program Development & Implementation
  • Gives staff and volunteers adequate training, resources and tools for proper program planning
  • Plans and executes special events (i.e. family nights, focus groups, field trips, club promotions)
  • Provides feedback and praise to employees and volunteers to create impactful programming
  • Regularly assesses program effectiveness and makes changes when necessary
  • Meets organizational program baseline by ensuring that monthly calendars offer 5 Core Areas and addresses the 40 Developmental Assets, supports the Youth Development Strategy (BUIC) and incorporates Be Great Traits
  • Maintains organizational expectation of attendance
  • Administratively collects necessary paperwork and follows filing protocol established by the organization (i.e. Member Files, Federal Program Monitoring (FPM)); attends all meetings; conducts parent, member, volunteer and staff surveys; meets attendance goals for dedicated site
  • Observes and monitors implementation of curriculum based program through observations
  • Provides resources and feedback to ensure that staff are provided with support to run programs
  • Supports curriculum based programs and initiatives
Resource Management
  • Assists with updating/inputting member information into member management system in a timely manner
  • Reviews attendance records at the end of each program day to ensure accuracy and completeness
  • Reviews attendance packets and verifies that they meet all requirements stated in the applicable policies and procedures
  • Ensures that attendance is tracked accurately and according to policies and procedures in member management system
  • Manages and monitors budget to ensure compliance with payroll, purchasing card, annual campaign, phone usage, wireless data, Staples order, and fieldtrips 
  • Ensures that employee time cards are checked daily and if needed accurately inputted by each payroll period
  • Assists with selecting assigned staff and volunteers, ensures productive and effective performance; ensures compliance with organization and state policies; manages and provides professional development for staff and volunteers
Marketing
  • Maintains communication as needed with school personnel, members, parents, community partners and other BGCGG departments to promote and ensure programs and services are meeting established standards and requirements
  • Maintains professionalism with all customers, members and colleagues; represents the program in various community and/or agency meetings
  • Creates marketing resources that promote programs that are up to date and meets BGCGG guidelines as well as posted visibly for customers, volunteers and staff to see; promotes BGCGG events such as annual campaign to customers, school faculty and community
  • Plans and coordinates special event and fieldtrips with staff and volunteers; promotes BGCGG events such as annual campaign to customers, school faculty and community; solicits feedback from school, community and families through focus groups
  • Offers members the opportunities to participate in National Programs and Initiatives
  • Creates and maintains publishing documents to highlight and inform customers of site/organization events and resources
Communication
  • Delivers organizational and club changes to parents and members in a positive manner
  • Communicates in a professional manner to all parents and community members
  • Responds to phone messages, emails and other forms of communication in a timely manner
  • Demonstrates effective written and verbal communication skills
  • Handles parent complaints effectively  and in a timely manner, communicates with supervisory in a timely manner
  • Creates marketing tools, brochures, flyers and actively interacts with school personnel

Qualifications


Qualifications
  • At least 18 years of age or at least 20 years old if working with intermediate aged members
  • Associate’s degree (or 60 college units completed) and 1 year of supervisory experience or proof of post-secondary education and 2 years of BGCGG Lead or equivalent experience
  • 2 years of experience working with school-age children in a group supervision setting
  • Bilingual capabilities preferred
  • Reliable transportation, safe driving record with two years of driving experience, CA driver license and automobile insurance
  • Must maintain valid CPR certification throughout employment through BGCGG CPR Program or through another acceptable CPR certification agency

  • Basic knowledge of group dynamics and youth development; awareness of classroom management and behavior strategies

Requirements
  • Position may require standing/sitting for extended periods of time, dexterity of hands and fingers to operate office equipment, reaching overhead, above the shoulders and horizontally, bending at the waist; seeing to review and analyze reports, documents or other reports; hearing and speaking to communicate and provide information to others; speaking to be heard before groups of people; position may require to lift, carry, pull or otherwise move objects between 10-20 pounds
  • Must pass Staff Instructional Exam prior to employment; fulfills minimum professional development requirement
