Job Description – Director of Operations

Primary Function: Oversee Club operations and programs with primary focus on program development and implementation; data management; professional development of employees; supervision of assigned employees; coordination of partner programs and volunteer groups; facilities; information technology; and budget management.

Key Roles (Essential Job Responsibilities):

  • Provide leadership and direction to the Executive Director and Board of Directors in the effective development and delivery of operations, programs, services, and activities that facilitate achievement of Youth Development Outcomes.
  • Ensure facilities and services are safe for members and promote positive youth development.
  • Oversee the identification and evaluation of opportunities to improve program effectiveness on the basis of participation and achievement of strategic goals.
  • Make recommendations to improve program performance, as appropriate.
  • Manage administrative and operational processes, overseeing the maintenance and repair of buildings, equipment, and other facilities.
  • Assist Unit Directors with budget preparation and management.
  • Develop and implement a development and training program which will provide leadership, training, and development opportunities to assigned staff.
  • Develop and implement an onboarding process for employees and members.
  • Ensure quality improvement by monitoring and evaluating program achievement against target goals, recommending modifications that respond to member needs and interests.
  • Ensure all sites comply with organization and grant requirements.
  • Ensure the maintenance of program records and recordkeeping systems to ensure compliance with all funders’ regulations and BGCA and to provide information to support resource development efforts.
  • Develop collaborative partnerships with other youth serving organizations, members, parents, families and community organizations. Advocate to assigned staff the importance of the partnerships.
  • Attend meetings of Board of Directors, Program/Safety Committee and Facilities/IT Committee.
  • Participate in activities and events to maintain good public relations for Club programs, services and donor relationships.
  • Coordinate with Director of Special Events & Marketing by providing information and materials to promote Club services and program activities.

Relationships:

Internal: Maintains close contact with assigned staff to provide assistance in matters of programming and operations; interacts regularly with the Executive Director and as needed with the Board of Directors and Committees in an informational and advisory capacity.

External: Maintains contact with external community groups, schools and others.

Knowledge/Skills Required

  • Must possess a Bachelor’s Degree from an accredited college or university in education, management, communications, or business administration.
  • A minimum of five years experience in managing programs or operations in a non-profit agency or Boys & Girls Clubs, with at least two years in a leadership capacity.
  • Ability to establish and maintain effective professional relationships with Board of Directors, community groups, Club employees, volunteers and other youth serving organizations.
  • Uncompromising integrity and high level of professional maturity, judgment and emotional intelligence.
  • Good verbal and written communication skills, including presentation skills and listening with comprehension.
  • Responsible decision making skills
  • Strong organizational and analytical skills
  • Must be willing to work in a team environment.
  • Must be able to multitask efficiently.
  • First Aid/CPR certification.
  • Mandatory Reporter Certification
  • State certification in food handling.
  • Willingness to assist in administrative, operational and/or Club needs to ensure the safety of members and implementation of programs when the need arises.
  • Must possess a valid driver’s license (held for at least 5 years), a clean driving record, and pass the Motor Vehicle Check. Must have reliable transportation.
  • Must pass a Criminal Background Check and Fingerprint Check.
  • Must be able to lift 25 pounds.
