Title: Front Desk Coordinator
Location: Griffin Branch
Category: Part-Time, Non-Exempt
Reports To: Branch Director
Pay Rate: $17.50/hr - $19.00/hr (depending on experience)
Schedule: Mondays-Fridays, Approximately 20 hours per week (2:00pm-6:00pm), with additional hours available during school breaks, early release days, and summer season.


JOB SUMMARY

The Front Desk Coordinator serves as the first point of contact for members, families, staff, and visitors, helping create a welcoming and positive environment at the Club. This position is responsible for maintaining accurate membership records, managing member accounts, and ensuring effective procedures are in place for tracking payments during the school year and summer programs.

ESSENTIAL JOB RESPONSIBILITIES

  • Manage and maintain accurate Club membership records, including data entry, payment processing, refunds/cancellations, and account tracking.
  • Develop and manage payment plans, track scholarships, and follow up on delinquent or non-sufficient fund accounts.
  • Oversee attendance tracking and ensure accurate reporting of member accidents/incidents.
  • Supervise the front desk area, including member sign-in/out, greeting visitors, and responding to inquiries.
  • Serve as a lead staff in the Branch Director's absence and support the Director in building community relationships and stakeholder engagement.
  • Manage and track the Club's Transportation program and submit in-kind donation forms to the Administrative Office.
  • Maintain a positive and collaborative Club culture, modeling professionalism and high energy for youth and staff.
  • Actively supervise areas to ensure a safe and positive environment for all members, including leading a program or activity for a group of youth on an as-needed basis.
  • Foster positive relationships with parents, staff, and visitors.
  • Attend staff meetings and mandatory monthly all-staff trainings.
  • Assume additional administrative or operational tasks as assigned by supervisor.

REQUIRED QUALIFICATIONS


  • At least 21 years of age.
  • High School Diploma or GED, or equivalent post-secondary education.
  • At least one year experience in customer service, reception, or administrative roles.
  • Demonstrated experience working with youth, parents/guardians, and/or community partners.
  • Excellent communication, written, and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Ability to work in a kid-centric environment.
  • Knowledge of youth development principles and developmental characteristics.
  • Ability to plan, organize, and manage the membership database.
  • Data Analysis and entry, record keeping and reporting.
  • Ability to de-escalate problems when present, and problem-solve during day-to-day activities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proven cash handling experience
  • Mandatory CPR and First Aid certifications (course will be available for staff upon being hired).
  • Must pass local and national background check and pre-employment drug screening (in accordance with RCW 49.44.240 (https://app.leg.wa.gov/RCW/default.aspx?cite=49.44.240)).

PREFERRED QUALIFICATIONS


  • Valid driver's license.

  • Combined experience and/or formal training, where:

    • Training and/or experience teaching youth while creating engaging learning experiences.
    • Experience working with youth and knowledge of youth development.
    • Boys & Girls Club experience, or similar before/after school program professional experience.
  • Supervisor and personnel management experience.

  • Experience working with youth and knowledge of youth development.

  • Knowledge of youth development principles and developmental characteristics.

  • Strong verbal and written communication skills in both Spanish and English, allowing for effective communication with Spanish-speaking clients, partners, and team members.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS

This position operates primarily in Club-based indoor settings and uses standard office equipment such as computers, phones, copiers, and filing systems. It will require travel between Club sites and sometimes to off-site locations for trainings, meetings, or program support.

The role requires physical, mental, and emotional stamina to work in dynamic and sometimes high-energy environments. Duties may involve standing, walking, sitting, climbing stairs, and using hands for various tasks. The employee must be able to lift up to 25 pounds and move about the work environment with sufficient agility to push/pull, squat, bend, stoop, twist, and reach overhead.

Additional requirements include:

  • Manual dexterity to write, use phones and computers, and operate a vehicle.
  • Visual and auditory ability to read materials, engage in conversation, and lead groups.
  • Mental acuity to assess and respond to situations, collect and interpret data, solve problems, and make sound decisions.
  • Ability to handle noise and activity generated by youth in enclosed environments.
  • Strong interpersonal skills and flexibility to collaborate with a wide variety of individuals.
