Description: Efficiently manage the needs, expectations, and desires of the principal, staff, students, parents and public. Must be able to communicate effectively through a variety of media as well as keep accurate records and maintain a smooth running office.

Essential Functions

  • Assist in the maintenance of the uniform filing system for all information and other pertinent data
  • Prepare, manage, update, distribute and ensure general correspondence and education documents addressing; safety, financial status and reports, staff, subs, and student policies, school-sponsored activities and groups, and general information to ensure the good order and discipline of the district
  • Oversee, order, manage, and secure the procurement and distribution of materials, and supplies as needed, including but not limited to building and room keys, copy requests, school supplies, etc.
  • Attend meetings and in-services as required
  • Provide a secure and welcoming atmosphere in referring to other professionals or responding to inquiries by parents, students, staff, Board Administration, or public officials
  • Withdraw students
  • Ensure the safety of students
  • Handle routine correspondence independently
  • Operate and maintain all office equipment, including copier, fax machine, and computer
  • Input information into and retrieve information from the computer
  • Interact in a positive manner with staff, students and parents
  • Maintain confidential information, e.g., custodial papers, IEPs, birth certificates, grades, medications and health restrictions, court documents, and papers
  • Make contact with the public with tact and diplomacy
  • Perform duties of a receptionist by answering the telephone, recording appropriate messages, sorting/distributing mail and greeting visitors
  • Process weekly time sheets
  • Prepare correspondence and other typing duties as may be directed by the Building Principal or Assistant Principal
  • Promote good public relations through personal appearance, attitude, and conversation
  • Prepare reports as assigned
  • Admit people into the building, and issue visitors pass
  • Gather, request, and/or provide factual information requiring reference to a variety of sources
  • Complete requirements for the graduation process, including arrangements for the graduation ceremony
  • Deposit all monies collected
  • Provide an accurate accounting for all monies received
  • Distribute lunch and bus tickets
  • Issue appropriate passes to students
  • Operate as office manager and assist all other clerical employees
  • Monitor students sent to the office
  • Be prepared to handle emergencies and notify the proper department
  • Serve as the clerk custodian for the school activity accounts
  • Ability to utilize computer software
  • Train and orient other secretarial/clerical personnel in-office procedure
  • Arrange for substitutes as assigned
  • Utilize emergency procedure knowledge, i.e., Ohio Weather Policies and Procedures
  • Supervise and train student assistants
  • Dispense medication in the absence of the Nurse/Health Aide
  • Such other duties directly related to the essential functions of the position may be assigned by the Building Principal/Assistant Principal


Qualifications

  • High School diploma or general education degree (GED)
  • Related experience
  • Must be bondable
  • Such alternatives to the above qualifications as the Superintendent and/or Board may find appropriate


Required Knowledge, Skills, and Abilities

  • Ability to communicate ideas and directives clearly and effectively both orally and in writing
  • Ability to complete general correspondence with accurate spelling/punctuation in an acceptable format
  • Ability to operate office equipment, e.g., copy machine, fax machine
  • Ability to utilize appropriate computer software, databases, and word processing
  • Ability to work effectively with others
  • Effective, active listening skills
  • Excellent computer skills
  • Organizational and problem-solving skills
  • Basic first aid
  • Ability to type/word process at a minimum of 50 wpm with minimal errors
  • Ability to generate a table, spreadsheet, or database that can be sorted and/or filtered

  • Frequent exposure to blood, bodily fluids, and tissue
  • Frequent interruption of duties by students, visitors, staff, and/or telephone
  • Occasional requirement to lift, carry, push and pull up to a maximum of 25 pounds
  • Frequent requirement to sit, stand, walk, hear, see, read, speak, reach, stretch with hands and arms, kneel, crouch, climb and stoop
  • Frequent repetitive hand motion, e.g., computer keyboard, typing
  • Frequent interactions with unruly children
  • Occasional requirement to travel
  • Occasional overtime work may be necessary

Salary : $32,700 - $41,400
