Position Description: Brentwood is seeking an Executive Assistant who will be responsible for providing high-level, communication, administration, and operational support to one of the firm Partners as well as 3-4 senior level members of the Investment Team. The Executive Assistant will serve as a primary point of contact between senior team members and employees, portfolio company executives, Limited Partners and third-party partners. Support functions include but are not limited to managing schedules, meetings, travel, and network of connections. A strong candidate will be a person who is comfortable working in a fast-paced environment and who is highly organized, can effectively prioritize and multi-task, is not easily overwhelmed, and is comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates. The Executive Assistant maintains and protects highly confidential corporate information and works independently with minimal supervision or direction.
Position Responsibilities:
- Serve as a primary point of contact for internal and external constituencies including those of highly confidential or critical in nature.
- Manages complex calendaring; organizes and schedules meetings, calls and other complex activities such as board meetings, business travel, and conferences.
- Complete a broad variety of administrative tasks that facilitate executive productivity including: assisting with special projects; designing and producing complex documents and reports; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
- Is responsible for planning and coordinating logistics for all company events including offsite planning sessions, the holiday party, quarterly outings, Limited Partner Advisory Board Meetings, and the Annual General Meeting which is a three-day event for the firm’s Limited Partners.
- Performs general office administrative tasks and daily operations including telephone and email screening, coordinating meals and catering, assisting with onboarding of new team members, assisting with hiring of temps or other recruiting related activities, providing receptionist coverage, and building maintenance requests.
- Manages the firm’s external communication channels, including its website, social media presence on LinkedIn and Instagram, and email marketing (via DealCloud).
- 3 years administrative support experience, preferably in a professional service setting. Private equity or consulting firm experience is a plus.
- Strong attention to detail, follow-up, and excellent organizational skills.
- Ability to treat sensitive and confidential information with appropriate discretion.
- Strong sense of urgency, adaptability, flexibility, and resourcefulness.
- The ability to function with grace under pressure, while managing multiple concurrent projects and deadlines.
- Strong interpersonal skills; focus on customer service and working cooperatively with team members. May be required to support/cover other Assistants as needed.
- Must possess personal tact, discretion, and good judgment.
- Proficiency in productivity and communication applications including Microsoft Office, Outlook, Word, Excel, and PowerPoint. Zoom, Slack, DealCloud (CRM), Expensify and Adobe Acrobat Pro, a plus.
- Extensive experience making travel arrangements; strong knowledge of online booking with airlines and hotels; familiarity with airline, hotel, and credit card reward programs.
- Excellent written and verbal communication skills.
- Occasional after-hours work as necessary.
- Bachelor’s degree or relevant experience.
