Position Summary
As the Station Facilities Administrator, your primary responsibility is to ensure the smooth and efficient operation of a building's infrastructure, including coordinating maintenance schedules, managing work orders, and liaising with maintenance teams and vendors. You handle administrative tasks related to facilities management, such as record-keeping, procurement, and compliance with regulations. The Station Facilities Administrator will report to the Director of Station Maintenance, and support the In Station Maintenance Team, consisting of two Lead Engineers and 5-10 Engineers across our Miami, Aventura, Ft. Lauderdale, Boca Raton, West Palm Beach, and Orlando Stations, along with our Miami Headquarters.

As the Station Facilities Administrator, your primary responsibility is to ensure the smooth and efficient operation of a building's infrastructure, including coordinating maintenance schedules, managing work orders, and liaising with maintenance teams and vendors. You handle administrative tasks related to facilities management, such as record-keeping, procurement, and compliance with regulations. The Station Facilities Administrator will report to the Director of Station Maintenance, and support the In Station Maintenance Team, consisting of two Lead Engineers and 5-10 Engineers across our Miami, Aventura, Ft. Lauderdale, Boca Raton, West Palm Beach, and Orlando Stations, along with our Miami Headquarters.
Key Responsibilities
Maintenance Coordination:
- Schedule maintenance activities, including preventive maintenance and repairs working closely with Lead Engineers across various properties.
- Manage work orders and track progress.
- Liaise with maintenance teams and vendors.
- Maintain records of maintenance activities, work orders, and vendor interactions.
- Prepare reports on maintenance costs, performance, and compliance.
- Maintain databases or tracking systems for facility operations.
- Assist Director of Maintenance with budgeting and managing maintenance expenses.
- Procure materials and supplies for maintenance activities.
- Ensure compliance with safety regulations.
- Support the implementation of health and safety programs.
- Provide support to the maintenance team and other team members.
- Communicate with vendors, contractors, and other stakeholders.
- Serve as a point of contact for maintenance-related issues.
- Monitor facility performance and identify areas for improvement.
- Participate in planning and project management for facility renovations or upgrades.
- Bachelor’s degree
- 3 years in facilities management or a related field is often
- Proficiency in Microsoft Office and maintenance management software
- Knowledge of relevant building codes, regulations, and safety standards
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Attention to detail and ability to prioritize tasks
- Ability to identify inefficiencies, improvements, and implement enhancements.
- High sense of urgency
- Ability to adapt to evolving operational needs.
- Extensive travel to all stations is required.
