The Role
The Admissions Office Administrative Assistant (AA) plays a key role on the Admissions Office team, serving as a point of contact for parents and prospective students. The AA will work closely with the Director of Admissions and Admissions staff and ensure timely support of parents and members of the Eaglebrook Community.
A primary responsibility of the AA will be to maintain Admissions data and generate accurate, clear and timely data-driven reports for internal use across departments.

Duties And Responsibilities
Office Management
- Maintain a daily interview and campus tour schedule for the Admissions Office
- Greet all scheduled and walk-in visitors
- Follow up with families to help them move forward with the application process
- Manage invitations and registrations for Admissions Virtual Open House sessions
- Work with the school’s event planner and facilities team to set up the annual Western Massachusetts Boarding School Tour
- Process incoming application materials (submitted through SAO, Blackbaud, and via email)
- Provide quality assurance to ensure that all required materials have been provided
- Submit complete application packages to the Admissions Committee for review
- Process and transmit admissions decisions to students and families
- Track the status of enrollment materials (agreements, deposits, and tuition payment plans)
- Ensure data standards are upheld accuracy of data.
- Create and maintain applicant & enrollment reports for the Admissions Office and other departments
- Assist with the enrollment process by creating annual enrollment documents, distributing them to families and tracking the responses
- Generate reports as requested using the enrollment management database, tuition management database and other SAAS platforms.
- Assemble new student information and prepare New Student Slideshow presentation for faculty and staff
- Work with Communications Office to prepare communications materials for applicants and ensure that the admissions section of the website is accurate and up-to-date.
- Bachelor’s degree preferred.
