Position Summary

The Financial Aid Coordinator provide administrative support to the Director and Associate Director of Financial Aid. The position includes the administration of one or more Federal, State or Institution financial aid programs and assist in processing, generating reports and supports administrative functions. The coordinator will work independently with support and guidance from the Director and Associate Director.

Description of Duties

Federal and State Processing responsibility

  • Manage student financial aid processes in the College’s integrated system (Colleague). Import data the US Department of Education FAFSA. Ensure quality assurance to monitor successful processing. Resolve technical issues as arise.
  • Oversee and monitor the Communication Management system application (Colleague). Utilize the application to generate automate emails, letters, and text messaging. Develop, compose, and improve communication methods.
  • Manage US Department of Education Common Origination and Disbursement (COD) processing. Review reports and perform reconciliation weekly of Federal Pell Grant and Direct Loan programs.
  • Verify student files under Federal, State, and Institutional regulations and policies to determine student’s financial aid eligibility.
  • Analyze data and generate reports for various financial aid processes.
  • Reconcile FWS earnings with payroll and FWS award amounts in electronic format. Troubleshoot conflicts, and adjust financial aid awards as needed in accordance with Federal regulations.
  • Review and process Revised Loan Request and Summer loan requests forms for student’s eligibility in accordance with Federal regulations.
  • Assist in processing private education loans, including downloading approved loans, determining eligibility, and awarding loans. Develop communication strategies with borrowers.
  • Upload State rosters to Colleague from NJFAMS, run Entrinsik Informer reports for awarding, troubleshooting, reconciliation, and certification of rosters.
  • Work closely with Administrator responsible for State grant programs such as NJ Dreamers and NJ Community College Opportunity Grant to communicate, monitor, and award.
  • Assist the Director with Foundation Scholarship selection and reconciliation.
  • Attend webinars and training from NASFAA, NJASFAA, EASFAA. Receive emails from NASFAA, HESAA, and IFAP to maintain financial aid regulatory knowledge required in this position
  • Review and analyze financial aid award recalculations for Tuition and Fee/Medical appeals from the Office of Records and Registration. Report information to the Appeal Committee.

Administrative Duties

  • Approve consortium agreements for visiting students attending Brookdale. This verification and calculation will determine eligibility at the home institutions. Communicate to the home school and students in a timely manner.
  • Prepare SAP Appeal packets for review by the Financial aid appeal committee weekly. Gather data from Colleague and run Degree Audit for each student. Update the appeal status after committee decision and send communication to students.
  • Complete and sign all verification of financial aid for various agencies such as SNAP benefits, Housing assistance, employer-sponsored benefits, and the NJ Foster Cares Program.
  • Provide operational support to the department.

Student Support

  • Respond to questions and requests from students.
  • Provide help and guidance to students and parents through the complicated process of filing for financial including, FAFSA, Federal Direct loans, NJFAMS and submitting documentation for verification, as examples.
  • Meet with students to discuss Financial Aid topics such as Satisfactory Academic Progress, Special Circumstances, or College Financing.
  • Attend all Open Houses and any other college events to represent the Financial Aid Office and speak to students and parents.

Technology

  • Maintain and update information in the Financial Aid website.
  • Utilize WordPress and/or other website builder software/applications.
  • Stay current with Colleague training, Communities, and Ellucian listserv.
  • Assist with any other processing or projects under the direction of upper administrators. Some projects are cyclical and only occur a few times a year. Some projects occur due to a new program, policy, or regulation.

Minimum Qualifications

Education:

  • Bachelor’s degree or its equivalent. Will consider combination of education and experience from which comparable knowledge and skills can be acquired.

Experience:

  • Two years of related experience.
  • Experience working in Higher Education and a working in Financial Aid with knowledge of Federal and State Financial aid regulations preferred.
  • Familiarity with integrated database and Financial Aid Management Systems (FAMS), preferred Ellucian Colleague.
  • Knowledge of NJFAMS and COD preferred.

  • Ability to develop positive relationships with a diverse student population.
  • Ability to work in multi-project, fast-paced environment and meet concurrent deadlines.
  • Ability to work collaboratively and to address problems through team work.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems.
  • Ability to learn processes related to Financial Aid, and maintain broad-based knowledge about the College.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.

Preferred Qualifications & Special Considerations

Knowledge of Monmouth County and its communities.

Working conditions are generally favorable. Occasional evening and weekend work and local travel maybe required. Nights and weekends required as needed.

Job Type: Full-time

Pay: $57,379.00 per year
