Accounts Payable Specialist
The role will be responsible for entering and coding vouchers, driving policies, procedures, and suggestions on implementing process improvements
Some Duties:
- Monitor AP Inbox to ensure invoices and inquiries are followed up on within two business days.
- Reviews and processes approximately 100 vendor invoices to accounts payable system per day.
- Accurately classifies accounts payable overhead invoices by vendor number and general ledger number.
- Upload invoices through Optical Character Recognition (OCR) software, AP Assist
- 3 Way matching of all stock and direct invoices.
- Troubleshoots invoice and PO issues and works with Managers or sales team to correct discrepancies.
- Drives all payments for stock & direct merchandise, employee expenses, and other invoices utilizing full discount terms
- Assists in set up of new vendors - completes vendor credit applications and acquiring necessary documentation such as – W-9, subcontractor insurance, registered contractor license verifications and other necessary papers.
- Maintains individual vendor templates for AP Assist.
- Assists with processing 1099’s at year-end.
- Resolves vendor-billing issues.
- Maintains and promotes a safe working environment and follows all safety rules.
- Promotes team building concept.
- Complies with all company policies and procedures.
Education: Associate or Bachelor Degree in Accounting is preferred.
Experience:
- 1-2 years prior accounting experience/knowledge is preferred.
- Microsoft Office proficiency.

- Critical thinker with the ability to research, problem solve and resolve reconciling items
- Ability to make decisions individually and be accountable for those decisions, but also knows when to involve management.
- Demonstrates ability to learn and routinely apply policies and procedures without daily instruction
- Good interpersonal, communication, and customer service skills.
Physical Requirements:
- Ability to sit for long periods of time.
- Regularly lift and/or move 10 lbs. Occasionally lift and/or move 25 lbs.
Salary Range: $20-27 based upon work experience, education, and/or skill level
