Administrative Receptionist

We are seeking a professional and organized Administrative Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and provide administrative support to ensure smooth day-to-day operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities :

  • Front Desk Operations : Greet and assist visitors, clients, and employees in a friendly and professional manner.
  • Phone and Email Management : Answer and direct phone calls, manage the general email inbox, and relay messages promptly.
  • Scheduling : Maintain calendars for conference rooms and leadership staff, coordinate meetings, and manage appointments.
  • Administrative Support : Assist with filing, data entry, and maintaining office records.
  • Mail and Deliveries : Receive, sort, and distribute mail and packages.
  • Supplies Management : Monitor and order office supplies to ensure adequate stock.
  • Office Coordination : Assist in organizing company events, meetings, and other administrative tasks as assigned.
  • Customer Service : Respond to inquiries and resolve minor issues, escalating more complex matters to the appropriate team member.

Qualifications :

  • High school diploma or equivalent (associate's degree or higher preferred).
  • Previous experience in reception, administrative support, or customer service is a plus.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to multitask and maintain composure under pressure.
  • Detail-oriented with strong organizational skills.
  • Friendly and professional demeanor with a focus on providing exceptional service.
