Position Title: Food Service Administrative Assistant
Position Description:
Under direction, is responsible for serving as the Administrative Assistant to the Food Service Director and performing a variety of duties in the Food Service office; performs related duties as required.
Minimum Qualifications:
- High School diploma or equivalent
- Four years of clerical experience
- Minimum of three (3) years school based food and nutrition services or related experience.
- Valid Motor Vehicle Operator's license
Required Knowledge, Skills, and Abilities:
- Knowledge of school lunch program regulations
- Knowledge of food handling, safety, and sanitation regulations
- Considerable knowledge of English grammar, spelling and punctuation
- Considerable knowledge of word processing, spreadsheet and data base management applications
- Skill in exercising tact and discretion when communicating with students, parents, teachers and administrators, support staff and general public
- Maintain respect at all times for confidential information
- Skill in proper telephone techniques
- Ability to maintain accurate records and complex filing system
- Ability to coordinate activities within time lines
- Ability to work effectively with others
- Ability to communicate ideas and directives clearly and effectively both orally and in writing

Essential Functions:
- Answers telephone calls, takes and delivers phone messages to Food Service Director
- Compiles, enters and replies to free and reduced lunch applications; reviews for completeness and notifies parents of eligibility; maintains free and reduced % tracking file
- Process Free and Reduced Meal applications
- Responds to parent inquiries on the status of their free and reduced meal applications; runs patron activity reports; adds alerts to student's lunch accounts; transfers funds on lunch accounts; completed paperwork for refunds on lunch accounts
- Sends weekly low lunch account balance letters to parents; sends charge balance reports to head cooks; calls parents to collect on NSF checks
- Complies CN labels to organize the Allergen Binders for 1-4 menu, 5-8 menu and 9-12 menu
- Organizes and performs food taste tests at each school throughout the year; complies the survey data to assist Food Director on making menu additions and changes
- Operates a personal computer to obtain, process or file data and information
- Assures financial policies and procedures are strictly adhered to when completing weekly deposit summary
- Does all accounting for the department as far as creating requisitions for purchase orders and paying all food service invoices
- Sets up interviews and works with Human Resources to get backgrounds completed and onboarding started
- Submits all FMX requests (IT and maintenance) for the Food Service Department
- Prints ID badges for all elementary students
- Puts all new students into family units on PaySchools
- Clears negative balances for all inactive students or graduated seniors that the Board of Education pays for
- At the end of the year, creates and sends out communication to senior families that have money left on their lunch account to see if they want to donate, transfer or get a refund for the balance
- Processes refunds for families who move out of the district
- Adds new employees to the Point of Sale system
- Puts together beginning of the year folders for each cook with calendars, policy and procedures information and sign off sheets, pay schedules and contact lists
- Creates new user ID numbers for all Reynoldsburg staff to purchase lunches
- Prints food service documents and mails to schools as needed
- Completes vendor rebates and updates cool school points
- Orders and inventories supplies for the Food Service Department
- Works in kitchens when there is a substitute cook shortage.
- Outstanding attendance and punctuality.
- Completes required annual Continued Education, Civil Rights training and HACCP training.
- Attends meetings and in-services as required.
- Performs other duties as assigned by the Food Service Director.
Additional Working Conditions:
- Occasional operation of a vehicle inclement weather conditions (i.e., being prepared to come towork on all scheduled days)
- Occasional interaction among unruly children
- Regular requirement to sit, stand, walk, talk, hear, see, read, speak, reach, stretch with hands and arms, stoop, crouch, climb, and kneel
- Lifting and carrying of office supplies and materials up to a maximum of fifty pounds
- Occasional travel
- Exposure to heat and humidity
