What are the responsibilities and job description for the Fleet Coordinator position at Candidate Experience site?
FLEET COORDINATOR
Provide clerical support in coordinating and maintaining leased vehicle fleet including invoicing, insurance claims, repairs, and overall expense management. Coordinate acquisition and disposition of leased vehicles and necessary reporting. The Fleet Coordinator function includes additional responsibilities as required during periods of high volume and staffing deficiencies.
JOB FUNCTIONS/ MAJOR TASKS
- Receive invoices from vehicle leasing company. Review invoices for accuracy and compliance with approved rate levels. Process invoices for payment. Code invoices to proper department for accounting purposes.
- Respond to phone, email inquiries from Boscov’s coworkers pertaining to vehicle maintenance, documents, and general issues. Track and record issues as they occur. Advise management of liabilities and expense pertaining to leased vehicles.
- Receive fuel invoices from credit card company. Review invoices for accuracy and compliance with approved rate levels. Process invoices for payment. Code invoices to proper department for accounting purposes.
- Receive invoices from EZ-Pass toll usage. Review invoices for accuracy and compliance with approved rate levels. Process invoices for payment. Code invoices to proper department for accounting purposes.
- Create tracking spreadsheets to monitor and manage preventive maintenance of leased vehicles. Work with the vehicle user to ensure proper maintenance schedules are kept.
- Create tracking and monitoring of fuel credit cards and EZ Pass transponders.
- Working knowledge of Access, Word, Excel, and Internet. Excellent communication via email and telephone
- Background in Invoicing/Expense desired
