The Data Operations Specialist plays a critical role in ensuring the accuracy, efficiency, and integrity of organizational data. This position is responsible for managing and maintaining data across the accounting department, development department, and for Executive Team generally, ensuring streamlined processes that support organizational efficiency.
Working closely with the Executive Team, the Data Operations Specialist will oversee donor database management, gift processing, reporting, and administrative support related to financial and development data. The ideal candidate is highly organized, detail-oriented, and technologically proficient, with a strong commitment to maintaining data accuracy and security.
Qualifications/Background:
- 3 years of relevant work experience in bookkeping, data entry, database management, or administration.
- A bachelor’s degree in business, finance, administration, data management, or a related field may be considered in place of some experience requirements.
- Excellent oral and written communication skills
- Proficiency with Microsoft Office Suite and Quickbooks
- Experience with HubSpot a plus
- Proficiciency with donor managment software a plus (i.e., Bloomerang, Kindful, Classy)
- Strong accuracy in data entry and ability to identify and correct errors
- Proven analytical skills
- Ability to manage multiple tasks, prioritize deadlines, and improve data workflows
- Approved DPS, Criminal and CPS background checks

Key Responsibilities:
1. Donor & Fundraising Data Management
- Maintain and update donor records, ensuring accuracy and completeness in the donor database.
- Process and record donations, generate donor acknowledgments and tax receipts.
- Track and reconcile donation records with the accounting team.
- Run regular donor reports and analyze giving trends to support fundraising efforts.
- Manage donor segmentation and data hygiene to improve fundraising efficiency.
2. Accounting & Financial Data Support
- Assist the Controller with data entry related to donations, grants, and program revenue.
- Ensure consistency and accuracy between all database records.
- Help with reconciliation and data validation for financial reports.
3. Program & Client Data Management
- Support program teams by maintaining and organizing participant data.
- Generate reports on service utilization, program outcomes, and key performance metrics.
- Ensure data compliance and privacy standards are upheld.
4. Reporting & Administrative Support
- Generate weekly, monthly, and annual reports for the Executive Team.
- Assist with data preparation for board meetings, grant applications, and audits.
- Streamline workflows to improve efficiency in data entry and management.
- Provide general administrative support where needed.
