What are the responsibilities and job description for the DENTAL CARE SERVICES MANAGER position at Care Resource?
Administrative Duties
Oversees all aspects of the Dental Care program and ensures coordinated service delivery through deliverables and productivity monitoring.
Hires, trains, manages, discipline and evaluates dental support staff.
Work with the dental staff to ensure that all patients are in compliance and up to date with all required paperwork.
Assists in the development, writing and submission of grants (when necessary).
Assists in the development of relevant policies and procedures and ensures compliance.
Evaluates office production, revises procedures or devises new forms to improve efficiency work flow and priorities.
Assists with development or revision of forms as necessary. Recommends procedural changes in the management of the office resulting in efficient and effective production.
Responsible for assuring patient service needs are met. Monitors patient service feedback and contributes to the process of resolving complaints and service issues. Plans and initiates process improvement as required.
Establishes and maintains effective communication and working relationships with providers. Responds to providers’ concerns and resolve issues as presented.
Coordinates with other departments and agencies as necessary to facilitate the delivery of dental services and prompt resolution to any issues.
Ensures electronic dental records software (i.e. NextGen, Provide Enterprise) is adequately utilized and work with IT department to ensure updates and issues are properly addressed.
Monitors equipment maintenance and coordinates repairs with facilities and applicable service vendors as needed.
Participates in and often facilitates site visits, monitoring visits, and audits from funders.
Fiscal Duties
Ensures dental codes have been entered correctly, charges entered accurately into Health Center’s system(s) and fees collected.
Produces, reviews and audits all dental billing and invoices.
Generates and analyzes various reports to better capture and monitor productivity, patient volume, revenue, referrals etc. of dental program activities.
In conjunction with supervisor, manages, maintains, and reconcile all dental care services related financial information.
Writes and prepares reports to comply with funding sources and as requested by management.
Orders supplies for the dental program and ensure proper inventory.
Ensures accurate and timely posting of charges for services rendered.
Actively participates in the promotion and marketing of the dental program.
Quality Assurance/Compliance
Participates and prepares various onsite inspections as required by local and state laws.
Develops and supports the establishment of Quality Assurance for the dental program according to Health Center’s policy.
Performs Quality Assurance and record reviews for the dental program.
Creates and distributes Standard Operating Procedures (SOP) for new protocols and procedures.
Serves as internal arbitrator of disputes involving patients, staff, and visitors.
Prepares documentation and applications for the credentialing and recredentialing of dental providers as needed.
Ensures that online trainings are current as required (UltiPro and other trainings)
Supervisory Responsibility
Supervises dental support staff.

Physical Requirements
This work requires the following physical activities: constant sitting, talking in person, talking on the phone, hearing/ visual acuity and vision for close work. Frequent walking, standing and exposure to blood borne pathogens. Occasional bending, stretching/reaching, exposure to hazardous materials and driving may be required. Work is performed in office and medical settings.
