What are the responsibilities and job description for the Case Coordinator position at CASA of the Eastern Panhandle, Inc.?
Status: Part-time to full-time position
Location: This is an on-site and “in community” position. Primary office location will be in the Berkeley Springs, WV office.
Reports to: Volunteer Supervisor
Description
The CASA-EP Coordinator’s primary responsibilities are to provide guidance and support to volunteer supervisors and other CASA-EP’s staff while ensuring compliance with established regulations and best practices. The Coordinator will assist with filing correspondence related to cases, maintaining case records and volunteer files. Participates in case meetings and attends court as needed.
Role and Responsibilities
Program Coordination
- Provide administrative support to volunteer supervisors, office manager, and volunteers including but not limited to:
- Assist with filing, data entry, and special reports.
- Provide referral resources for supervisors, advocates, and other parties.
- Assist in presentations about the CASA program to recruit volunteers and increase community awareness.
- Attend court hearings, meetings or visits as needed or, if required, attend in volunteers’ place and/or make appropriate arrangements in volunteers’ absence, at the request of the volunteer supervisor.
- Maintain relationships with all professionals involved in the case to ensure quality of outcomes and a positive reputation in the community.
Case Management
- Make regular contact with all volunteers, especially prior to hearings, for updates on their activities and the preparation of the court reports
- Consult on and edit CASA volunteer reports for hearings; ensure CASA reports are filed prior to each hearing and distributed to all parties
- Maintain accurate and confidential paper and electronic case files; provide weekly and monthly program numbers to program staff and supervisors
- Ensure volunteers feel valued, appreciated and supported in their work as CASAs
Training & Outreach
- Support volunteer supervisor with programs, including scheduling, preparing materials, PowerPoint updates and application follow-up.
- Participate in programming and outreach events.
- Participate in volunteer training and continuing education programs as directed.
- Participate in public relations and community education events to increase the community’s awareness of CASA and child welfare issues by serving on community task force(s) aimed at improving the lives of children in the community.
Data Entry & Record Keeping
- Support CASA-EP in maintaining compliance with National standards; including records and case files of active cases.
- Enter case information in Optima database and ensure that files are current.
- Assist in maintaining and compiling data regarding children and volunteers for quarterly and annual reports.
Other
- Support volunteer engagement.
- Maintain confidentiality at all times.

Preferred Qualifications
- B.A. or B.S.
- Strong English written and oral communications skills required.
- Background in social work, paralegal/court services or teaching desired.
- Cultural sensitivity
- Desire and ability to act as a dedicated team member.
- Demonstrated writing excellence and editorial skills.
- Excellent analytical skills and good judgment.
- Computer proficiency and online database experience.
- Availability to work flexible evening and weekend hours as needed.
- Access to a personal vehicle and the ability to drive to various communities in the Eastern Panhandle of West Virginia to perform job duties required.
