Workers’Compensation Specialist
REPORTS TO: Director, Benefits and Risk Management
DEPARTMENT: Human Resources-Insurance and Benefits
POSITION OVERVIEW
The primary responsibility of the Workers’ Compensation Specialist is to perform a variety of tasks to assist the insurance and benefits functions of the District. Performing those duties requires the ability to take initiative and ownership of work, ensure accurate administration of the workers’ compensation program, billing, focus on continuous improvement, manage multiple tasks simultaneously, provide superior customer service and maximize the use of technology to streamline administration. Duties frequently require discreet and tactful handling of sensitive and confidential material, excellent organizational skills. Excellent communication skills, both written and verbal, are required.
EMPLOYMENT TERMS
- Employment terms covering compensation, benefits, and working conditions are specified by the Board of Education’s policies, procedures, and agreements.
- Salary determined by the Board of Education, depending on experience.
- 12 month employment is based on annual evaluation in accordance with this job description.

QUALIFICATIONS
Education and Experience
- Bachelor’s Degree or equivalent experience required
- 3-5 years of experience administering workers’ compensation program including maintaining documents, sharing documentation with third-party administrator (TPA) preferred
- 3 years of experience working with HRIS preferred
- Working knowledge of applicable workers’ compensation laws and other areas of compliance preferred

DUTIES AND RESPONSIBILITIES
- Coordinate/administer the workers’ compensation plan including but not limited to, maintaining documents, sharing documentation with third-party administrator (TPA).
- Liaison/advocate for the injured worker with TPA, Special School District (SSD) administration, and Urgent Care facilities. This entails fielding calls, providing excellent customer services, tracking, and documenting interactions.
- Assist workers’ compensation provider(s) with organizing and obtaining documents for the legal file.
- Collaborate closely with the Workforce Compliance department regarding accommodations and restrictions related to workers’ compensation.
- Effectively communicate to help staff better understand the workers’ compensation process and return to work notifications.
- Assist with the administration of workers’ compensation plan including timely notification to workers’ compensation TPA, completion of forms, tracking all claims, etc.
- Collaborate with managers and supervisors to investigate incidents, determine causes, and complete the necessary post-accident investigation report.
- Participate in monthly departmental workers’ compensation meetings and quarterly workers’ compensation committee meetings.
- Support the total temporary disability (TTD) & total partial disability (TPD) weekly payment reconciliation with TPA’s report & entry in WorkForce Management (WFM).
- Assist with the timely reporting, review, and validation of workers’ compensation pay coding to determine the updates needed in WFM to ensure the changes are accurate.
- Identify and rectify any issues, analyzing reasons for errors/discrepancies in WFM as it relates to workers’ compensation.
- Process the submission of liability and property claims on the TPA admin portal.
- Assist with monitoring student injuries, bus accidents, general liability claims and handle certificates of liability.
- Process the payroll reconciliation for the District paid benefits.
- Responsible for creating and tracking purchase orders.
- Streamline tasks for continuous improvement and to increase efficiency/effectiveness by maximizing the use of technology and collaborating with other departments.
- Assist with coordinating open enrollment, including assisting with written material, making benefit presentations, handling distribution of materials and collaborating with outside vendors.
- Provide backup and cross-training support for the department.
- Assist with coordinating and participating in health fairs.
- Work closely with Payroll, Human Resources and Accounting departments.
