Position Summary
The Human Resources Administrator is responsible for providing comprehensive administrative, benefits and leave support to the Human Resources Division and organization at large. This position will also serve as a supporting subject matter expert on the organization's HRIS platform.
Performs duties in alignment with the 2019 - 2024 COTA Strategic Plan and in support of the organization's vision To Move Every Life Forward.
Position Responsibilities
- Assists in the implementation and/or training of HRIS conversions or introductions and monitors performance for improvements;
- Executes the personnel action process and enters personnel and salary data into HRIS platform on hires, out-of-service, salary or position changes for administrative employees, changes relating to sign ups for vehicle and facility maintenance employees; including building and updating Pay Rate progressions for certain employee groups
- Schedules return-to-work physicals (as per Memorandum of Agreement) and special exams as requested by the Human Resources leadership. Maintains confidentiality of medical information, ensures follow up action taken when needed;
- Assists with annual merit process.
- Manages the DOT certifications, expirations, and any medical or physical appointments needed for recertification.
- Oversees and administers the wellness program with vendor to bring forth opportunities for employees to engage, register, and participate for wellness initiatives.
- Oversees and administers and keeps updated employee perks and other related HR information pertaining to the program.
- Administers the process of creating and maintaining personnel, benefit, and medical files for new hires; pulls and maintains out-of¬service files.

- Types routine correspondence including benefit compliance letters, information regarding medical exams, etc.;
- Regular, predictable and punctual attendance required; and
- Performs other duties as assigned.
Qualifications
- Requires a bachelor's degree in human resources or related field and/or five (5) years of experience in higher level clerical and administrative in business or human resources environment; or an equivalent combination of education and experience.
Knowledge, Skills & Abilities
- Knowledge of COTA's organization and operation depth to deal effectively with union officials and employees;
- Skills in verbal and written communication;
- Skills in human relations;
- Ability to maintain accurate and comprehensive filing system and to organize, plan and follow-through on projects in a timely manner; and
- Ability to maintain strict confidentiality as it relates to sensitive personnel matters.
