Nature of Work

Assist project management personnel by providing support to ensure that administrative tasks are completed and that the business functions efficiently.

Essential Responsibilities

  • Prepare and process monthly project billing to include submitting to customers, pulling aging report, and following up outstanding payments.
  • Track/maintain incoming inventory to include check in, notification to Ops team of inventory status, and supervising organization of warehouse.
  • Log/book new projects and service calls for the project personnel.
  • Manage vehicle fleet: orders, maintenance, repairs, recalls, vehicle assignments, Samsara software, registrations, gas cards, etc.
  • Manage/update contractors and business licenses.
  • Manage/track employee certifications and clearances such as OSHA, lead, asbestos, NDOC, etc.
  • Manage/coordinate project documents such as prelien requests, change orders, project updates, certificates of insurance, subcontracts, etc.
  • May be responsible for performing as the Onboarding Coordinator, which includes following strategic center’s processes for new employee onboarding, including but not limited to new hire paperwork, welcoming initiatives, background checks, drug screening, etc. while maintaining high level of confidentiality.
  • Manage/add new customers, projects, services in Vista database.
  • Supervise receptionist to ensure completion of duties.
  • Promote the company safety culture and safety awareness throughout the company, projects, or office.
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.

  • Knowledge of construction industry terminology and documents
  • Ability to supervise personnel
  • Ability to provide performance management feedback and complete evaluations
  • Ability to provide mentorship to less experienced team members

Education

  • High School Diploma or General Education Degree (GED), or equivalent experience

Experience

  • 2 years or more of related work experience preferred

Physical Demands

  • Must be able to lift up to 25 pounds
  • Normal office environment
  • Frequent activity: sitting, viewing, and typing on computer screen
  • Occasional activity: standing, walking, bending, reaching above shoulder
