Role Description:
Our Payroll and Expense Reporting Specialist works within our Accounting Department collecting employees' payroll information to process and ensure timely and accurate payments are made to employees. They will work closely with employees and serve as a liaison with the Human Resource Department. They'll gather employees' time sheets after each pay period and will verify that their payroll information and work hours are correct. They will quickly learn our payroll system and ensure that all appropriate taxes and withholdings are calculated.
They'll review and process employee expense reports to ensure appropriate receipts and approvals were obtained based on Coampany policy. They will ensure appropriate coding for accurate financial reporting.
They will collaborate closely with employees to gather any important payment information or to answer any of their questions regarding their paychecks or submitted expense reports. If any payroll or expense reporting issues or discrepancies occur, the Payroll and Expense Reporting Specialist must investigate and resolve them. They will create regular reports for management, as needed.
Role Duties and Responsibilities:
Maintaining payroll information by collecting, collating, calculating and entering data
Updating payroll records by entering new employees and any changes to employee information benefits such as job title changes, exemptions and saving deductions
Preparing, analyzing and sharing overtime reports with supervisors/managers. Ensuring company policy is follwed relating to overtime
Using our payroll system (Paylocity) to calculate payroll liabilities by determining employee taxes, including federal and state income and social security tax, and calculating employer's payments for social security, unemployment and worker's compensation
Resolving payroll descrepancies and answering any amployee payroll queries
Maintaining all payroll operations according to company policies and procedures
Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records
Reviewing expense reports and ensuring all proper documentation, approval(s) and coding are submitted, accurate and in accordance with our Company policies
Coordinating with Paylocity to issue W-2 forms to employees
Booking Company travel and reservations through Concur (our Expense Reporting and Travel Platform)
Other duties, as assigned
Role Skills and Qualifications:
A proficient Payroll and Expense Reporting Specialist should have these skills to do their job well:
Strong computer skills such as typing, system and software knowledge
Ability to learn new systems quickly
Knowledge of wage withholding orders
Accurate data entry skills with great attention to detail
Excellent communication skills, both verbal and written, to communicate with employees regarding their issues and concerns

Experience and Education Preferred:
Preferred candidates will have a bachelor's degree in accounting or a similar field and 1-3 years of relevant professional experience. Experieince with Paylocity payroll system and Certified Payroll Professional (CPP) or a Fundamental Payroll Certification (PFC) designations a plus.
