The Accounts Payable Specialist will be responsible for receiving, verifying, processing, and paying invoices related to accounts payable. They will process and mail supplier checks, record and reconcile credit card activity, and reconcile supplier statements.

Job Summary:
The Accounts Payable Specialist will be responsible for receiving, verifying, processing, and paying invoices related to accounts payable. They will process and mail supplier checks, record and reconcile credit card activity, and reconcile supplier statements.
Duties/Responsibilities:
- Full-cycle Accounts Payable process – including obtaining approvals, general ledger coding, entering billing information, and attaching all necessary documentation
- Matches invoices, purchase orders, and receiving documents; verifies item prices and invoices are accurate and requests purchase order amendments as needed
- Processes weekly supplier checks and credit card payments to selected suppliers, ensures all bills are paid on time, and imports Positive Pay files to the bank
- Processes monthly recurring AP transactions, enters credit memos, identifies discount opportunities, and issues stop-payment orders as needed
- Records and reconciles credit card statement activity
- Completes credit applications, sets up new vendors, obtains W-9 documents, compiles year-end 1099 information, and maintains vendor files
- Reviews and researches supplier statements and communicates with suppliers in solving discrepancies
- Assist other departments as needed, especially during calendar 4th quarter
- Maintain written procedures for all assigned responsibilities
- Other related duties as assigned
- High level of accuracy, thoroughness, attention to detail, and excellent organizational skills
- Ability to maintain confidential and meticulous records
- Work and interact effectively with all team members, across all levels of the organization
- Demonstrate professional communication – both written and verbal, and courteous with customers
- Ability to analyze data; demonstrate basic problem-solving skills
- Must be proficient in Microsoft Office Suite products and be able to learn/use accounting software systems
- High school diploma required; Business or Accounting degree preferred
- 2-4 years full-cycle accounts payable processing required
- Proficiency with Excel, including the use of spreadsheets and formulas
- Experience with Oracle’s NetSuite a plus
