Job Overview
We are seeking a highly organized and proactive Administrative Assistant to join our team. In this role, the School Administrative Assistant/ Librarian will provide general administrative support to the Director of Education as well as maintain the library catalogue and maintain appropriate records of library materials for the patient education program at Chesapeake Treatment Center. The ideal candidate will possess strong communication skills and a keen attention to detail, enabling them to manage various administrative tasks efficiently. This position requires a commitment to maintaining a professional environment and delivering exceptional service.
Responsibilities
- Assist education director in being responsible for preparing and maintaining policies and Comar regulations to meet MSDE requirements
- Organize and maintain education supplies quarterly and ensure that requisitions are completed, signed and forwarded to Accounting in a timely manner
- Perform receptionist duties such as answering telephones, taking messages, forwarding calls as required.
- Maintain and organize student records to include face sheets, filing, contact notes, other records, etc.
- Process incoming and outgoing mail regarding school communications and/or student records.
- Maintain/Update the library catalogue and records of library materials, including shelving as directed by the principals.
- Order and organize library materials, equipment and resources for efficient utilization and circulation.
- Assist students with the location and use of library resources.
- Take meeting minutes for staff meetings and other scheduled meetings as directed by education director

Skills
- Proficient in computer use with strong knowledge of Google Workspace applications.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong organizational skills with attention to detail in all aspects of work.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Previous experience in an administrative or office role is preferred but not required.
- Effective communication skills both verbally and in writing.

Schedule:
- Full-Time Schedule: 40 hours per week.
- Monday - Friday
Minimum Requirements:
- High School Diploma
- 2 years of experience working in an office setting
- Experience in residential treatment / education
- Must be 21 years of age
Preferred Requirements:
- Bachelors Degree
- 2 to 4 years of experience in residential treatment / education
Job Type: Full-time
Pay: $20.91 - $25.19 per hour
