Job Title: OutreachProgram Coordinator

Background:
Chicago CRED is a mission-driven organization working to achieve a transformational reduction in violence in Chicago. CRED does its work by offering direct services to those who are at the highest risk of violence, advocating for policy reform to increase public investment into community violence interventions, and promoting cross-sector coordination to achieve maximum impact.
Department Function
The Outreach Program Coordinator will report directly to the Manager of Outreach Operations as well as work with the Site Managers to ensure seamless service delivery from outreach-programming pipeline. This position will help coordinate outreach services, including developing schedules, managing participant payroll, and ensuring all digital documentation is completed.
Essential Duties and Responsibilities
Responsibilities (Day-to-Day)
- Enroll new Chicago CRED participants in the e-payment system.
- Support new participants facing challenges with the enrollment process.
- Manage stipend payment process for CRED participants on a bi-weekly basis
- Troubleshoot payment receipt issues with participants and staff
- Manage cancellation and resubmission of any failed or expired payments with MFS and document issues with payments on Salesforce
- Communicate outstanding payments to relevant staff
- Conduct trainings with staff, as needed, to ensure they are communicating the stipend process effectively to participants
- Collaborate with the Data Team to make process improvements as it relates to the method for calculating, recording, and managing payments
- Make sure participants information is correct in Salesforce
- Update participants information in Salesforce for DocuSign
- Download Report Results and run Report on Completed Contracts
- Assist with participant orientation and their onboarding process.
- Monitor office supplies and ensure timely orders and purchases.
- Manage MFS stipends (tracking, processing, documentation) for outreach and program participants; field concerns, inquiries, and problem solve daily.
- Enter attendance records into Salesforce.
- Assist with office flow and ensure that the participants are in their scheduled groups.
- Prioritize work according to programmatic needs; determine workflow problems and develop solutions.
- Assist with the development and implementation of quality assurance/quality improvement measures for the program.
Responsibilities (General-Ongoing)
- Generate program reports.
- Participate in weekly/monthly meetings with Program Manager, Outreach and Program teams as required.
- Attend ongoing professional development and program trainings as required by MFS and CRED
- Data entry support to outreach and life coaches.
- Point of contact for Cook County sheriff’s department and electronic monitoring.
- Flexible scheduling to address the evening hours and roving participants.
- Oversee the vendor services, which includes selection, scheduling, and payment for services.
- Completing invoices and check requests for all transactions.
- Identify resource and training needs, develop and implement strategies, protocols, and processes to assist effective Outreach management, maximize safety, and contribute to program goals and objectives.
Experience and Qualifications
- Minimum of 3 years of office (administrative) and/or program management experience working in a related field including experience working with acutely at-risk.
- Experience with Salesforce strongly preferred
- Experience managing payroll.
- Knowledge of, and willingness to work with acutely at-risk individuals, groups, and communities.
- De-escalation and conflict resolution skills and experience.
- Excellent relationship-building skills as well as customer service skills.
- Excellent written and verbal communication skills.
- Attention to detail, strong organizational, time management and problem-solving skills.
- Ability to work with a team, be flexible and dependable, and proactive.
- Knowledge of computers, including Word, Excel, and Internet.
- Work is performed primarily in the office, and in the field on occasion. (Vehicle and personal insurance are required.)
Educational Requirements
- Bachelor’s degree in related field highly preferred
Location
This position will be based in Chicago’s South and West, with local travel to site locations.
Physical Requirements and Working Environment
· Ability to sit or stand for extended periods of time.
· Ability to work with a computer for extended periods of time-up to 70%.
· This position is Monday-Friday, 12pm-8pm, and occasionally requires nights, weekends.
Compensation
$60,000/ year
