The ideal candidate will be professional, discreet, and sensitive to the needs of individuals receiving mental health and behavioral health services.
The Administrative Assistant has a variety of responsibilities, including, but not limited to:
- Triage phone calls, directing clients toward the right resources
- Greeat and welcome clients, community partners, and other visitors
- Schedule meetings, travel arrangements
- Prepare a variety of documents, such as reports, memos, invoices. legal request of consumer files
- Maintain and update filing systems, databases, records (both digital and physical), and consumer files
- Manage office supply inventory and ordering
- Submit facility work orders and manage CPLC vehicle communications
- Tracks all petty cash transactions, receipts, checks, money, and exchanges for payment including reconciliation forms to accounts payable
- Assist with coordination of recruitment interviews and support new hire onboarding
- Manage administrative staff schedules, scheduling conflicts, and coordinate staff coverage
- Coordinate with the IT department on all office equipment (maintenance, new user setup, etc.
- Support team members with administrative tasks and projects as needed
Education /Background:
- High school diploma or G.E.D. equivalent
- One (1) or more year(s) administrative experience
- Communicate clearly and effectively both verbally and in writing
- Able to obtain fingerprint clearance card
- Excellent phone etiquette
- Customer service-driven mindset
- Able to manage a workload with a variety of projects and deadlines
- Able to work with minimum supervision
- Knowledge of MS Office (word, excel, outlook, access)
- Organizational skills
