Position Summary:
Supporting an Executive Vice President and two Vice Presidents, the Executive Administrator works side by side with senior executive leaders to provide business support services that enhance and maximize the effectiveness of the business area. Accompanies the leader on important business meetings and handles confidential and sensitive information for the leader. Schedules, guides and manages the key engagements of the executive leader. Ability to clearly articulate communication both internally as well as externally. May serve as project coordinator on highly visible organization-wide projects. Also, can serve as a liaison to the Board of Directors.
- Communicates directly, and on behalf of the Executive with various constituencies, including Board members, donors, staff and others on matters related to key programmatic initiatives.
- Leads a broad variety of administrative tasks for the Executive including managing calendars, composing and preparing correspondence, arranging complex meeting and travel plans.
- Demonstrates exceptional judgment and authenticity while accomplishing responsibilities from the perspective of effectively managing relationships in order to maintain trust and support.
- Plans, coordinates and ensures the Executive's schedule is followed, and provides 'gatekeeper' duty to ensure appropriate direct access to the Executive.
- Provides a bridge for smooth communication between the Executive's office and internal departments.
- Works closely with the Executive to inform regarding upcoming commitments, responsibilities and status of initiatives.
- Completes critical aspects of deliverables with a hands-on approach, including drafting letters and other correspondence.
- Manages a variety of special projects, prioritizes conflicting needs.
WORK EXPERIENCE
- At least 10 years' experience supporting senior level leaders and executives is required
- Progressive responsibility in administrative and management experience in a health care or fundraising environment strongly preferred
EDUCATION
- Four-year bachelor's degree or equivalent experience is required
