Description


The mail clerk is in charge of setting up vendors and maintaining their information within the system. At time they will assist in processing, sorting, and distributing mail, as well as other related administrative tasks. They should have excellent attention to detail and organizational skills to ensure that all tasks are completed accurately and efficiently. The ability to work independently and prioritize tasks is also a must. This role is essential to the smooth operation of our business and requires someone who is reliable, efficient, and dedicated to providing a high level of service.


Responsibilities


  • Handles vendor setup and changes as needed.


You, as the mail clerk, are responsible for handling vendor setup and changes. To ensure accuracy, it is important for you to obtain and review source documentation such as W-9s. You are also responsible for setting up new vendors and executing changes to existing vendors across all software platforms.


  • Receives, sorts, and distributes incoming mail and e-mail.


As a mail clerk, you receive, sort, and distribute incoming mail and e-mail. You are responsible for sorting, scanning, and distributing incoming mail, as well as processing incoming emails by routing them to the appropriate departments like Accounts Payable, HR, or Tax. Additionally, you submit invoices to Accounts Payable by scanning and initiating the Docuware process. Your attention to detail and efficiency is essential to ensure that all mail and emails are processed accurately and in a timely manner.


  • Completes administrative tasks as necessary.


Apart from the duties mentioned earlier, there are other administrative tasks that you could potentially lend a hand with. For instance, you could aid in arranging appointments, managing email exchanges, and organizing documents. You could also provide assistance during meetings by jotting down notes, preparing presentations, and setting up equipment. Furthermore, you could support with data entry, research, and any other tasks that may arise.
