JOB TITLE: PROPERTY ASSISTANT
REPORTS TO: OWNER REPRESENTATIVE (OR)/ SENIOR OWNER SERVICES MANAGER (SOSM)
JOB SUMMARY: The Property Assistant plays a crucial role in maintaining the high standards of vacation rental homes at Cinnamon Shore. This position involves supporting the Home Manager with a variety of tasks to ensure properties are ready for guests and owners. Responsibilities include performing daily arrival walkthroughs, escorting vendors and builders, completing minor tasks, addressing guest requests, and ensuring home readiness. The Property Assistant also handles inventory management, replenishes houseware items, and performs onboarding safety checks. This role is essential in providing a seamless and high-quality experience for both homeowners and guests.
KEY FUNCTIONS:
● Daily Arrival Walkthroughs: Conduct walkthroughs of properties to prepare for and ensure the satisfaction of both arriving owners and guests, addressing any immediate issues or concerns.
● Vendor and Builder Escorts: Accompany vendors and builders on-site, when the Home Manager is not available, to ensure they have access to necessary areas and that work is completed to standard.
● Minor Task Completion: Handle minor tasks such as signage installation and other small maintenance or setup activities to ensure properties are in top condition.
● Guest and Owner Requests: Address and fulfill guest requests promptly to enhance their stay and ensure a high level of satisfaction.
● Initial Inspection Completion: Perform initial inspections of properties onboarding into the rental program to identify and report any issues before the home’s calendar is released.
● Onboarding Safety Checks: Conduct safety checks during the onboarding process to ensure all properties meet safety standards and regulations.
● Home Readiness Checks: Ensure homes are fully prepared and ready for new arrivals, including completing final readiness checks and addressing any last-minute issues.
● Inventory Management: Keep track of houseware/expendable inventory, to ensure that all items are stocked and in good condition in our inventory room.
o Monthly Inventory: Run inventory once a month to assess stock levels and identify needed items.
o Item Requests: Provide a list of needed items via email to the Senior Owner Services Manager and Business Operations Manager for purchase.
o Unboxing and Pricing: Unbox all received items, price them and upload the updated inventory to Breezeway inventory control.
o Organization: Organize all physical inventory in the inventory room to ensure an orderly and accessible storage area.
● Expendables Replenishment and Installation: Replenish expendable supplies in homes (e.g., cooking utensils, coffee makers, etc.) and install new items as needed to maintain property standards.
● Owner Gifts: Manage and distribute owner gifts, ensuring they are prepared and delivered as required before each guest’s arrival.
● Runner: Act as a runner for various tasks, including delivering items, picking up supplies, and assisting with other logistical needs.
● Property Specifics in Breezeway: Complete all property requirements tasks assigned in Breezeway, including details about inventory, condition, and any relevant notes.
● Maximizing Owner ROI: Committed to enhancing owner satisfaction by implementing strategies that optimize rental income, reduce costs, and increase the overall return on investment for each property.
SKILLS:
· Property Management: Knowledge of property management practices and standards. Ability to handle minor maintenance tasks and ensure property readiness.
· Inventory Management: Skills in running inventory, tracking stock levels, and managing supplies. Proficiency in unboxing, pricing, and organizing inventory. Familiarity with inventory management software like Breezeway.
· Customer Service: Strong interpersonal skills for addressing guest and owner requests and ensuring high satisfaction.
· Organizational Skills: Ability to manage multiple tasks efficiently, including inventory management, guest requests, and property inspections. Attention to detail in maintaining accurate records and organizing physical inventory.
· Technical Skills: Basic proficiency in using property management software and other digital tools. Familiarity with safety standards and procedures.
· Problem-Solving: Ability to address and resolve issues that arise during property inspections or guest stays. Flexibility to adapt to changing situations and unanticipated tasks.
EDUCATION:
· High School Diploma or Equivalent: Required for basic knowledge and skills.
· Post-Secondary Education (Optional): Coursework in hospitality management, property management, or a related field can be beneficial.
WORKING ENVIRONMENT:
· Field-Based: The role involves spending a significant amount of time on-site at various properties.
· Office and On-Site Work: Includes both office-based tasks (e.g., inventory management) and hands-on tasks at rental properties.
· Collaborative: Interaction with team members, homeowners, guests, vendors, and other departments.
PHYSICAL CAPABILITIES:
· Mobility: Ability to move around various properties, including walking, climbing stairs, and navigating different terrains.
· Manual Dexterity: Ability to handle tasks such as unboxing, organizing inventory, and minor maintenance work.
· Lifting and Carrying: Ability to lift and carry items up to 40lb (e.g., boxes of supplies, minor appliances) of moderate weight.
· Stamina: Ability to work for extended periods, including standing and walking for long durations.
