Job Summary:
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our property management team in Brea, CA. This individual will serve as the first point of contact for our office and provide essential administrative support to ensure smooth daily operations. The ideal candidate is friendly, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Greet visitors, tenants, and vendors in a courteous and professional manner
Answer and direct incoming phone calls, take messages, and respond to inquiries
Maintain a clean and organized front desk and reception area
Assist with general office tasks such as filing, scanning, data entry, and mail distribution
Schedule appointments, coordinate meetings, and maintain office calendars
Provide administrative support to property managers and other departments
Prepare and edit correspondence, reports, and property-related documents
Maintain records of tenant communications, service requests, and lease documentation
Assist with onboarding new tenants and coordinating move-in/move-out processes
Order and maintain office supplies and handle basic office maintenance requests
Qualifications:
High school diploma or equivalent; associate degree preferred
1–2 years of experience in an administrative or receptionist role (property management experience a plus)
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Strong verbal and written communication skills
Excellent organizational and time management abilities
Friendly, professional demeanor with strong customer service skills
Ability to handle confidential information with discretion
