The purpose of this classification is to perform administrative, secretarial, and clerical duties in support of assigned department.Answers telephones and receives visitors; responds to routine inquiries and requests or routes visitors/callers to appropriate individuals.
Receives customer complaints and initiates corrective action or routes to appropriate individual; follows up to ensure that necessary action is taken.
Prepares and/or types reports, schedules, lists, memorandum, forms, notices, subpoenas, logs, agreements, notes, statements, questionnaires, flyers, directories, notices, worksheets, correspondence or related documents; posts, distributes, files, or forwards as appropriate.
Copies and/or faxes reports, notices, and related documents as required.
Maintains personnel files and records for the department; prepares/enters payroll data into a computerized system for departmental employees; maintains files of employee training hours; monitors employees attendance and vacation/sick leave; prepares records for retention and storage.
Performs stenographic, secretarial, and clerical duties to perform assigned administrative functions.
Responsible for the scheduling of appointments and maintaining appointment calendars for assigned department.
Receives, routes, and distributes incoming mail; answers routine correspondence; prepares and sends bulk and certified mail.
Prepares agenda for departmental meetings; takes and transcribes minutes.
Takes dictation; transcribes correspondence, statements, or related documents as needed; converts into written, typewritten or printed form the spoken or recorded language, such as the proceedings of meetings court hearings or taped interview.
Performs file maintenance tasks; classifies, indexes, files, and updates correspondence, reports, notices, and related documents; maintains computerized database.
Performs data entry tasks and updates computerized data as needed; verifies data and generates reports from data as directed; performs research assignments as directed.
Orders and maintains supply inventory; stocks, and distributes as appropriate; may pick up and deliver supplies as needed.
Prepares and processes customer accounts, case assignments, applications, terminations, or related actions; updates as needed; may accept receipts/payments and process as appropriate; completes related reports.
May assist in training other administrative personnel.
Serves on committees as directed.
Coordinates with other divisions/departments to exchange information or receive advice/direction.
ADDITIONAL FUNCTIONS
Performs other related duties as required.High school diploma or GED required; additionally, one (1) year related previous experience and/or training involving secretarial or general office tasks preferred; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. May require possessing and maintaining a valid Georgia driver's license. Must be able to type at least 30 wpm.Data Utilization: Requires the ability to determine, calculate, tabulate, or summarize data/information. Includes performing subsequent actions in relation to these computational operations.
