The City of Amesbury (estimated population 18,000), a dynamic Merrimack Valley community rich in tradition with a vibrant and expanding economic base, is seeking a strong candidates to serve as the Amesbury Police Department’s Public Safety Clerks. The Public Safety Clerk performs a wide variety of general and or specialized office support, clerical, and technical work in support of the Amesbury Police Department; collects, indexes, maintains, retrieves, copies, and distributes confidential law enforcement data and information; performs a variety of record keeping functions including processing police reports; receives and provides assistance to the public at the front counter and over the telephone and radio; and provides support and assistance with other non-sworn functions and activities of the Amesbury Police Department.

Essential Duties and Responsibilities: Duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific duties does not exclude them from the position if the work is similar, relates, or is a logical assignment to the position.

  • Receive and provide assistance to the public at the front counter and over the telephone, and/or direct them to the appropriate agency or agencies as required.
  • Monitor all radio frequencies located in the reception area and respond when appropriate.
  • Monitor any video or audio equipment located in the reception area and report information requiring attention to the Shift Commander or the Officer-in-Charge.
  • Maintain the highest level of professionalism and the strictest degree of confidentiality for all information received at all times including compliance with Massachusetts General Laws related to Criminal Offender Record Information (CORI).
  • Acquire thorough knowledge of the locations and layout of the streets, buildings, parks, housing projects and other significant areas of the community as to maximize efficiency.
  • Respond to all complaints received in a calm, professional and civil manner.
  • Collect, index, process, maintain, retrieve, copy, and distribute confidential law enforcement data and information.
  • Perform a variety of record keeping functions including processing police reports.
  • Assist police officers with CORI information, inquires and investigations with the direction of their supervisor, maintaining confidentiality of all materials collected.
  • Provide other support and assistance to non-sworn functions and activities of the Amesbury Police Department.
  • Inform the Shift Commander or the Officer-in-Charge when contact with an officer on patrol cannot be made in a reasonable amount of time.
  • Report any deployment or response of a police officer beyond their regularly assigned duties to the Shift Commander or Officer-in-Charge.
  • Report for duty in the approved uniform for Public Safety Clerk, unless authorized otherwise by the Chief of Police or their designee.
  • Photocopy and distribute crime, incident, arrest and accident reports, warrants, subpoenas, follow-up requests and related paperwork to various agencies including departmental staff, other local and state law enforcement personnel, insurance companies, and other agencies and organizations, under the direction of the Shift Commander or Officer-in-Charge.
  • When an individual walks into the lobby reporting an emergency, the Public Safety Clerk will immediately notify an officer to respond to the location of the emergency, then notify the Essex Regional Emergency Communications Center (RECC) and provide the nature, location and name of the officer(s) that responded. When an individual walks into the lobby to report a non-emergency, will notify the RECC and relay the information so the RECC can dispatch an officer to the non- emergency call.
  • Perform Matron Duty when required (female clerks only) which includes;
  • Search all female prisoners when ordered to do so by the Shift Commander or the Officer-in-Charge. Handle all property taken in accordance with regular departmental procedures.
  • Under the direction of the Shift Commander or Officer-in-Charge is responsible, in accordance with departmental procedures and the Massachusetts Suicide Law, for the well-being and safekeeping of all female prisoners.
  • Communicate all significant information to the Shift Commander or Officer-in-Charge.
  • Matrons may also be used during field operations when a Commanding Officer feels their assistance with females may be necessary. This may include but not be limited to an execution of a search warrant and or the other incidents where females may need to be searched.
  • Care for lost children brought into the station house when requested to do so by the Shift Commander or the Officer-in-Charge.
  • Perform other such duties as assigned by the Chief of Police or his/her designee

Minimum Qualifications:

  • High School Diploma
  • CJIS certification
  • Ability to pass background check, psychological check, and physical.
  • CPR certification, or the ability to obtain certification within six months.
  • No smoking or tobacco use.

Required Skills and Qualities:

  • Computer and communications skills including Microsoft Office.
  • Ability to work overnight shifts.
  • Ability to work in fast paced and stressful work environment.
  • Ability to handle sensitive information discreetly.
  • Desire to work within the criminal justice environment

Work Environment and Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position is generally sedentary. Employees must be able to remain in a stationary position 50% of the time.

This position requires the employee to communicate, detect, converse with, discern, express oneself, exchange information. The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

This position requires the employee to detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate and assess. The ability to observe details at close range within a few feet of the observer.

This employee frequently moves boxes up to 20 pounds across office areas for various needs, including having to lift, carry, push, pull, or otherwise move objects.

This position is primarily conducted indoors.
