Position Summary
Reporting to the Community Relations Manager, the Communications Coordinator works collaboratively with a multitude of City departments to implement the City’s Internal Communications Plan and coordinate, develop, and distribute content for the City’s internal communications efforts, including employee town halls, news stories, executive communications, e-newsletter, intranet management, and video stories. The position also supports external communications and responds to public inquiries from social media, email, or other sources and provides consistent customer service to community members.

The position assists with maintaining the Communication & Engagement Department’s content calendars and provides meeting support as needed. The position ensures collaboration and consistency across citywide communication efforts for internal and external audiences.Essential Functions Include:

Duties and Responsibilities
The individual in this position is expected to engage in the following work-related activities.
  • Supports social media programs by managing Facebook, Instagram, X, Nextdoor, and other social media platforms and SMS messaging to ensure and enhance the community’s ability for digital engagement with the City.
  • Drafts and designs messages and content for programs or projects, including but not limited to written stories, video storyboards, talking points, presentations, flyers, and digital signage.
  • Assists with the coordination of content calendars. Ensures a multi-faceted communications approach is efficient, organized, and responsive.
  • Assists City departments, programs and projects with strategic communications planning.
  • Edits and updates intranet pages for the optimal user experience.
  • Supports photography, videography and/or graphic design work as needed for outreach.
  • Maintains substantial contact with others outside own workgroup, including the general public, vendors, partners, and leadership level employees; interactions involve discussions and/or resolving problems related to policies and programs or the exchange of highly complex or confidential information; substantial sensitivity, discretion and cooperation required; usually follow- up action is needed.
  • Plans and manages outreach and educational campaigns and activities, including facilitating the implementation of activities with internal and external parties, monitoring against project plans and ensuring forward progress.
  • Coordinates purchasing activities related to communications projects, including ordering supplies and issuing purchase orders to vendors, and reconciliation of expenditures.
  • Evaluates impact and reach of various campaigns and educational activities and makes recommendations for new courses of action and campaigns to achieve greater impact and reach.
  • Supports public meetings and events with materials as needed.
  • In an emergency event or an officially declared State of Emergency, responds as directed to ensure the restoration of essential public services, facilities, and infrastructure.
  • Performs related duties as necessary to achieve the objectives of the position.

  • Maintain working knowledge of principles and practices of public relations, communications and/or marketing, as well as internal policies and procedures.
  • Maintain working knowledge of innovative communications tools, technologies and methods, including social media administration.
  • Maintain working knowledge of fundamental elements of educational campaigns and associated activities.
  • Communication and interpersonal skills as applied to interaction with coworkers, supervisors, the general public and other stakeholders sufficient to exchange or convey information to provide and receive work direction.
  • Manage a high volume of tasks at one time, including organizing and prioritizing own work.
  • Work independently with minimum direction while also working as part of a team and collaborating with others.
  • Demonstrate a high attention to detail.
  • Maintain working knowledge of software programs such as Microsoft Office including Word, Outlook, Excel and PowerPoint and other interactive computer programs as well as operating common office equipment.

Ability Requirements
The following capabilities are required to perform the essential functions of this position.
  • Effectively communicate with others verbally and in writing, including by phone, e-mail, or in person.
  • Understand, remember, communicate and apply complex oral and/or written instructions and factual information.
  • Remain in a stationary position (sitting or standing) for extended periods of time, occasionally stand, walk, stoop or kneel for extended periods of time.
  • Exert up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, to lift, carry, push, pull or otherwise move objects.
  • Maintain sustained concentration on computer screens and use keyboards and a variety of peripherals.
  • Work is generally performed in an office setting.
  • Additional desirable abilities:
    • Bilingual ability to understand and to make one’s self understood to all Spanish speaking individuals.
 
Education, Experience, Certifications and/or Licenses 
The following are the qualifications for this position.       
Minimum Qualifications
  • Associate’s degree or equivalent from two-year college or technical school or an equivalent combination of education and experience that provides the required knowledge, skills, and abilities as outlined in this job description.
  • 2 to 3 years’ experience in a similar position and/or performing similar tasks.
  • Current and valid Driver's license per City policies outlined in the Employee Handbook.
