What are the responsibilities and job description for the Records Technician position at City of Big Spring?
This position is responsible for providing clerical and administrative support to the department.Essential duties and functions may include the following:
- Enters data from incident and accident reports to the records management computer system; updates files as supplementary information becomes available.
- Assists the general public; makes copies of reports, collects fees, answers inquiries and directs visitors.
- Tracks, verifies, reports, and corrects the accuracy and completeness of various police reports.
- Maintains files and distributes police records, offense reports, accident reports, complaints, arrest sheets, End of Month reports, certificates, dispositions, obituaries, and UCR reports.
- Assists Animal Control Officers by answering telephone, relaying calls to field and answering inquiries in person or via telephone.
- Receives monies for payment of various fines and fees including pet redemption, pet adoption, and pet tags/licenses.
- Balances a cash drawer; prepares bank deposits as necessary.
- Types and files various correspondence and reports.
- Registers sex offenders for the City of Big Spring.
- Prepares and responds to open records requests.
- Prepares cases to be sent to County/District Court or Justice of the Peace Office.
- Issues vendor permits.
- Maintains web site and inventory database for Animal Control department.
- Performs other duties as assigned.
- Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
- Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
- Possession of a valid Class C Driver's License issued by the State of Texas for the type of vehicle or equipment operated.
- Completion of a computer skills test PRIOR to submitting application. Applicants must submit results of Skills Testing with Application for Employment. Skills test can be taken at the Texas Workforce Commission located at Howard College, 1001 Birdwell Lane, Suite 106, Big Spring, Texas 79720 (next door to Howard Cottage day care).
- Credit checks will be conducted on all applicants under final consideration for this position.
- A polygraph exam will be conducted on all applicants under final consideration for this position.

- Knowledge of modern office practices and procedures.
- Knowledge of regulations and procedures of state and national crime information centers.
- Knowledge of applicable federal and state statutes, city ordinances, and city, department and safety policies and procedures.
- Skill in data entry.
- Skill in maintaining records.
- Skill in file management and basic bookkeeping.
- Skill in operating various office equipment including a computer using police software, typewriter, calculator, copier, facsimile machine and a two-way radio.
- Skill in dealing with the public.
- Skill in oral and written communication.
