The Fleet Inventory Coordinator is responsible for a variety of general administrative duties that support the Fleet Department, including maintaining accurate records of all fleet-related equipment, parts, and supplies. Assisting in scheduling work and coordinating with departments. Interacting frequently with members of the public, vendors, other city employees, and other governmental agencies, this position will play a key role in optimizing inventory levels, reducing costs, and ensuring the availability of critical resources for vehicle maintenance and operational requirements. An understanding of division operations, needs, and goals is essential for the application of the best support.Essential Job Functions represents 20%-50% of working time on a regular basis, subject to the varying demand of specific functions. Working Conditions
Performs most of the essential job functions in an indoor office and warehouse and occasionally in the fleet shop environment with frequent tedious exacting work and multiple tasks simultaneously, some of which require frequent changing of tasks, under time pressures in a noisy environment. Including a variety of heavy, manual tasks, and exposure to engine oil, solvents, cleaning agents, gasoline, anti-freeze, transmission fluid, engine waste oil, exhaust fumes, battery acid, and other substances with fumes.
- Use maintenance software to create and track work orders, performs safety inspections, audits inventory, and ensures proper waste disposal documentation.
- Supports the fleet technicians by assisting in the scheduling of work with the vehicle and equipment operators/departments.
- Maintains accurate records of fleet inventory, inspects incoming items, monitors stock levels, and initiates reorders, identifying cost savings opportunities.
- Keeps organized records of inventory transactions and assists with budget preparation including requisitions, quotes, and processing accounts receivables and payables.
- Conducts inventory audits, resolves discrepancies, and generates reports on inventory levels, usage, and expenditures with recommendations for management.
- Supports office and shop safety, ensuring compliance with policies and best practices.
- Manages the Fleet Division’s relationships with vendors, negotiating favorable pricing and delivery terms.
- High School Diploma/GED.
- 1 Years of general shipping and receiving experience.
- 3 Years of progressive administrative experience.
- Valid State of Texas Driver’s License with a safe driving record.

- Knowledge of vehicles, equipment, chemicals, mechanical parts, and supplies. Including the receipt, storage, and issuance of materials and equipment and the proper procedures for supply and inventory operations.
- Knowledge in computerized inventory systems, expense management, and basic accounting principles, with accuracy in performing quick mathematical calculations.
- Strong attention to detail and organizational skills.
- Clear communication skills, both verbal and written, with the ability to translate Fleet team needs into a product and/or action.
