Purpose
Performs a variety of routine clerical work in sorting and distribution of incoming mail and dispatching outgoing mail.
Essential Functions
- Obtains mail for organization from mail carrier, post office box or other delivery service providers.
- Organizes incoming mail according to categories (bills, orders, payments, complaints, returned letters, etc.) departments or specified destination.
- Distributes mail daily to various persons and offices in the organization and gathers outbound mail.
- Examines outgoing mail for appearances (address clear and visible, etc.) and secures contents by sealing envelopes by hand or machine.
- Determines amount of postage needed by weighing outbound mail using postage meter to apply correct postage.
- Maintains a daily record of postage monies for each department, submits to the Finance Department a monthly report of these departmental charges.
- Sorts large mass mailings by departments and bundles U.S. mail for delivery to Post office.
- Responds to inquiries from employees, customers and others and refers, when necessary, to appropriate persons.
- Prepares UPS packages for shipment from departments.
- Performs other duties as assigned.
Qualifications
- Working knowledge of mailing systems, postal regulations and requirements;
- Working knowledge of modern office practices and procedures;
- Working knowledge of policies and requirements of mailing and shipping companies;
- Skill in operation of scales; postage machine; computer terminal; copy and fax machine;
- Ability to accurately process, sort and distribute incoming and outgoing mail;
- Ability to accurately weigh, compute and process postage and shipping charges;
- Ability to regularly lift up to 50 pounds without assistance.
Education and Experience
High school diploma or equivalent, and one year work related experience.
