An administrative assistant is the supportive force behind both Community Development Director Planning/Zoning and Building Department for the City of Manistee. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail. The candidate should have experience working in an office environment, performing administrative tasks, and providing support to coworkers.

Objectives of this role

  • Support an administrative professional team to help them stay organized and complete tasks that allow executives to focus on more advanced responsibilities.
  • Coordinate internal and external resources to expedite workflow.

· Manage complex schedules, and ability to meet changing deadlines is essential to the position.

Responsibilities

  • Execute comprehensive administrative functions, including professional communication management and document preparation
  • Orchestrate complex scheduling and calendar management
  • Maintain precise records through systematic data entry and filing protocols

Required skills and qualifications

  • High school diploma or equivalent
  • 2-5 years of demonstrated administrative expertise
  • Excellence in written and verbal communication
  • Advanced organizational and time-management capabilities
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
  • Demonstrated ability to master new technological platforms

Preferred skills and qualifications

  • Associate’s degree or equivalent professional experience
  • Proven office management expertise
  • Demonstrated success in process improvement and filing system optimization
  • Experience in board documentation management (agenda preparation, minutes recording)
  • Working knowledge of BS&A software systems
