Contract Oversight & Compliance:
- Ensure strict adherence to contract terms, timelines, deliverables, and financial obligations.
- Hold vendors, contractors, and internal stakeholders accountable for fulfilling their contractual commitments.
- Conduct regular audits and reviews of contracts to identify potential risks, non-compliance, or performance issues.
- Work with Legal to enforce penalties and corrective actions for breaches of contract.
- Maintain a centralized contract database for citywide agreements, ensuring accessibility and accuracy.
- Track expiration dates, renewal deadlines, financial obligations, and performance milestones for all contracts.
- Ensure all contracts are properly documented, archived, and easily retrievable for auditing and reporting.
- Coordinate with departments to streamline contract approval processes and ensure timely execution.
- Serve as the primary point of contact for contract-related inquiries, negotiations, and dispute resolution.
- Facilitate collaboration between city departments, vendors, and contractors to ensure mutual understanding and compliance.
- Provide regular updates to department heads and city leadership on contract performance, risks, and key milestones.
- Develop training and guidance for city staff on contract management best practices.
- Purchasing: Ensure procurement contracts align with city policies and competitive bidding requirements.
- Legal: Work alongside the City Attorney’s office to review contracts, resolve disputes, and mitigate legal risks.
- Finance: Monitor financial compliance, payment terms, and budget alignment for all contract expenditures.
- Bachelor’s degree in Business Administration, Public Administration, Law, Finance, or a related field required.
- Master of Business Administration or in progress strongly preferred.
- 3 years of experience in contract management, procurement, or legal/compliance roles.
- Government contract experience (municipal, state, or federal) strongly preferred.
- Expertise in contract management principles, compliance, and enforcement.
- Strong negotiation and conflict resolution skills to manage contract disputes effectively.
- Highly organized with exceptional record-keeping and attention to detail.
- Proven ability to hold vendors and contractors accountable while maintaining productive relationships.
- Excellent communication and collaboration skills to work cross-functionally with city departments and external partners.
- Proficiency in contract management software and Microsoft Office Suite.
