What are the responsibilities and job description for the Administrative Assistant II - Public Works position at City of Missouri City, TX?
This is a full-time, mid-level, administrative support position. An individual in this position provides administrative, technical, and clerical support to the Streets & Drainage Division of the Public Works Department. Reporting relationship: Assistant Director of Public Works
Examples of Work:
- Compile, prepare and distribute various reports; manage and maintain daily calendar and conference room schedule; organize and set up meetings; make travel arrangements; and process requests for information;
- Manage and maintain work order system; input work orders; manage materials and inventory;
- Set up and oversee administrative policies and procedures for the Division, Public Works Department and other internal customers of the City;
- Prepare invoices, correspondence, memos, letters, financial statements and other documents using business specific software such as Microsoft Word, Excel, Outlook, PowerPoint, etc.
- Design, develop and maintain Alpha and/or Numeric filing systems; orders office supplies and equipment; prepare purchase requisitions; assist with the development of the division's budget;
- Answer telephones; take messages, greets visitors; open, process, read and determine best course of action directed by mail content; sends and receives faxes, electronic mail, other documents or submissions, including reports to determine their significance and who to receive and respond;
- Perform other related duties as assigned;
- Subject to 24 hour recall.
Education, Experience, or Certification: An Associate’s degree in Accounting, Business Management, Engineering, and Public Administration from an accredited college or university, or two (2) years relevant professional experience are desired.
