Summary:
Under the moderate supervision of the assigned department supervisor, performs intermediate skilled administrative support work providing administrative support to department staff, receiving and processing incoming calls and visitors, preparing and maintaining records and files, typing a variety of documents, preparing reports, and related work as apparent or assigned.
Essential Duties and Responsibilities:

- Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.
- Types a variety of documents including correspondence, forms, reports, purchase orders, requisitions, etc. where a knowledge of format and presentation is necessary; answers routine correspondence independently.
- Assists in the coordination and preparation of periodic, special, and other reports; collects information from a variety of sources and compiles data.
- Sort, index, and maintain various file and record.
- Receives, sorts, processes and distributes incoming and outgoing mail; assists with large mailings.
- Operate a variety of standard office equipment; performs minor and preventive maintenance on equipment and requests service when equipment is malfunctioning.
- Performs specialized departmental tasks and duties as assigned.
Qualifications:
To perform successfully in this position, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill and/or ability required:
- Education: High school diploma or GED and moderate experience in administrative support and office operations, or equivalent combination of education and experience.
- Language Skills: Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to citizens and other City employees.
- Mathematical Skills: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
- Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in writing, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Computer Skills: Basic computer skills should include the ability to use Microsoft Word, Excel, Publisher, Power Point and understand file storage and transfer. Ability to create and maintain case files, evidence logs, audio files, photographic files as they pertain to evidence.
- Certificates, Licenses and Registrations: Ability to obtain GCIC certification and Notary Public license within six months of hire.
Position does not have supervisory responsibility.
